Your Opportunity
BDO Canada is seeking a Senior Administrative Professional to join our US Corporate Tax Services group in Montreal. This hybrid role plays a key role in supporting complex cross-border engagements by ensuring engagement documentation, billing workflows, and practice operations are managed accurately and efficiently within a high-performance professional services environment. Working closely with Partners and tax professionals, you will provide senior-level administrative and coordination support to the local team and broader national practice, contributing to the smooth execution of client engagements.
Key Responsibilities
Client Onboarding & Engagement Administration
Coordinate client onboarding activities, including initiating Conflict of Interest checks in accordance with firm policies
Establish and maintain accurate client records within OneSource CRM and Intapp
Prepare, review, and assemble engagement letters, ensuring completeness and alignment with firm standards
Manage the engagement letter review and approval workflow and track execution to support timely completion
Billing, WIP & Financial Coordination
Support the end-to-end billing process, including invoice preparation and processing
Assist Partners with WIP monitoring, billing reviews, revenue tracking, and billing adjustments
Coordinate combined billings across service lines as required
Generate and interpret Workday reports to support A/R monitoring and collections follow-up
Maintain accurate billing documentation and ensure adherence to internal procedures
Tax Return & Deliverable Assembly
Assemble U.S. corporate tax returns and extensions in accordance with internal processes
Prepare client-ready deliverables, ensuring accuracy, consistency, and professional presentation
Format complex correspondence, proposals, and reports to firm standards
Practice & Team Support
Provide senior-level administrative support to Partners and the US Corporate Tax team locally and nationally
Coordinate meetings, scheduling, and engagement deadlines in a deadline-driven environment
Support document management, workflow tracking, and proposal preparation
Identify opportunities to enhance administrative efficiency and improve internal processes

Your Experience and Education
5+ years of progressive administrative experience, preferably within a professional services or large corporate environment
Experience supporting senior-level professionals in a structured, deadline-driven setting
Strong understanding of billing processes, WIP management, and A/R coordination
Exceptional organizational, time management, and communication skills
Proven ability to manage confidential information with discretion and professionalism
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience with OneSource CRM, Intapp, Workday, and AI-enabled productivity tools (e.g., ChatGPT, Microsoft Copilot) is considered an asset
Flexibility to work additional hours during peak periods
