Tenant Coordinator/PC

MatchBox Consulting Group is seeking a Project Coordinator / Tenant Coordinator to join our client, a well-established Surrey-based general contractor delivering institutional, commercial, and light industrial projects across the BC. The Project Coordinator / Tenant Coordinator will support tenant-focused construction and renovation projects, including work within occupied and public-sector facilities. You will work closely with the Project Manager, site teams, consultants, vendors, and tenants to ensure seamless communication, minimal disruption, and efficient project delivery. Key Responsibilities

• Act as the primary point of contact for tenant communications, inquiries, and concerns
• Coordinate tenant access, suite turnovers, move-ins, and construction schedules
• Prepare and distribute project notices, updates, and building communications
• Maintain detailed records including tenant files, access logs, complaints, and schedules
• Support onsite operations by coordinating vendors and subcontractors
• Conduct site and property inspections to identify safety, access, or tenant-related issues
• Assist with emergency procedures and act as a point of contact during incidents
• Support the Project Manager with scheduling, reporting, and general administration
• Review and interpret drawings, scopes, schedules, and contract documents
• Assist with RFIs, change orders, purchase orders, and document control
• Track project information using Procore and Microsoft Office

Qualifications

• 1–3 years of experience in project coordination, tenant coordination, or a related construction role
• Experience in occupied buildings, renovations, or public-sector environments is an asset
• Solid understanding of construction processes and documentation
• Strong communication skills with a calm, professional approach
• Highly organized with the ability to manage multiple priorities
• Proficiency in Procore and Microsoft Office
• Able to work independently and handle sensitive information with discretion
• Comfortable working onsite with frequent walking and occasional lifting (up to 20 lbs)
• Able to provide a satisfactory criminal record check
