Ashcroft Terminal and the PSA Group are seeking an Administrative Assistant to join our growing team!

As the only private logistics terminal in Canada with CPKC & CN mainlines onsite, ATL is strategically located to help shippers, manufacturers, and producers prepare their commodities for export or import. As a member of PSA International, Ashcroft Terminal is part of a global network of supply chain professionals!

In the position of Administrative Assistant , the successful candidate will be responsible for performing various administrative tasks, including managing calendars, making travel arrangements, preparing reports, and handling correspondence.

In this position, you will be responsible for :

  • Managing and organizing office files, records, and documents.
  • Answering and directing phone calls, emails, and other forms of communication.
  • Scheduling and coordinating meetings, appointments, and travel arrangements.
  • Preparing reports, presentations, and correspondence as required.
  • Assisting with data entry, record-keeping, and database management.
  • Greeting and assisting visitors, ensuring a professional and welcoming environment.
  • Ordering and maintaining office supplies, ensuring availability at all times.
  • Supporting various departments with administrative tasks as needed.
  • Handling confidential information with discretion and professionalism.
  • Assisting in processing invoices, expense reports, and basic bookkeeping tasks.
  • Additional duties as assigned.

For success in this role, you must have :

Qualifications

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • Proven experience as an administrative assistant or in a similar role.
  • Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with office management systems and procedures.
  • Soft Skills

  • Exceptional organizational and multitasking abilities to manage priorities effectively.
  • Strong communication skills with a customer-focused approach.
  • Ability to work independently while collaborating effectively within a team.
  • Knowledge and ability to alphabetize, numerically rank, file, sort and batch documents and maintain general record-keeping and filing systems.
  • Detail-oriented, with an emphasis on exceptional quality of work.

    In this full-time position, you can look forward to a Monday to Friday schedule (8 : 30 AM to 5 : 00 PM) and a rewarding pay structure between $50,000 to $58,000 annually based on experience. All employees have access to our extended health care benefits plan and our RRSP employer matching program.
