Hours : 40 hours / week (Monday–Friday, with occasional evenings and weekends for events)
Location : 40 International Place, St. John’s, NL (hybrid)
Compensation : $25 / hour
Role Overview
The Program Development Coordinator oversees the day-to-day operations of CMFI NL Community. This role leads grant research and writing, coordinates community-based programs, and ensures funded initiatives are implemented effectively. The Coordinator supports the identification of emerging community needs and adapts programs and funding efforts accordingly. Working closely with the Advisory Board and Project Coordinators, the role supports program sustainability and the ongoing development of funding opportunities.
Key Responsibilities
- Grant Research & Writing
- Research, identify, and monitor relevant funding opportunities from government, foundations, and community partners.
- Prepare and write high-quality grant applications, proposals, letters of intent, and supporting documentation.
- Coordinate the collection of required materials such as budgets, organizational information, and letters of support.
- Maintain a comprehensive funding calendar to track deadlines, submission dates, and reporting timelines.
- Support post-approval requirements, including documentation and basic grant reporting.
- Program Planning & Coordination
- Coordinate the planning, scheduling, and delivery of community-based programs and initiatives.
- Work with facilitators, partners, and volunteers to support program logistics and implementation.
- Ensure funded activities are delivered in accordance with approved proposals, timelines, and budgets.
- Support adjustments to programming based on emerging community needs and feedback.
- Implementation & Operations
- Oversee the day-to-day implementation of funded activities to ensure smooth operations.
- Maintain organized digital and physical program records, including contracts, forms, and correspondence.
- Track program expenses, invoices, and receipts to support financial accountability.
- Assist with internal processes to ensure programs remain well-coordinated and compliant.
- Collaboration & Communication
- Collaborate closely with the Advisory Board and Project Coordinators to support program objectives.
- Communicate regularly with partners, facilitators, and stakeholders regarding program timelines and requirements.
- Support coordination across multiple programs and funding streams.
- Monitoring, Documentation & Reporting
- Collect attendance records, participant information, and program documentation.
- Compile activity summaries, photos, and basic outcome information for funder reports.
- Support accurate record-keeping and responsible handling of sensitive information.
- Assist with preparing updates and summaries for internal review and funder communication.
Requirements
Diploma or Bachelor’s degree in Business Administration, Project Management, or a related field (or equivalent experience).Strong written and verbal communication skillsAbility to research and write clear, professional grant applications and proposalsStrong organizational skills with attention to detailAbility to track deadlines, documents, and reporting requirements effectivelyComfortable working in a collaborative, community-focused environmentProficiency in tools such as Google Workspace and / or Microsoft Office (Excel, Word, PowerPoint), Canva, and social media platformsAt least 2 years experience in project management or event planning, preferably in a community or nonprofit setting.Possess a proactive and positive attitude, with a demonstrated ability to think creatively and find solutions to challengesAbility to multitask effectively under tight deadlines; problem-solving mindset.Availability for occasional evening / weekend work during key events.Valid driver\'s licenseAssets
