Please see below the role’s responsibilities and perks, we can’t wait to meet you!ResponsibilitiesMeeting and Event CoordinationSchedule meetings and arrange appointments and events for the team.Prepare reports and take meeting minutes.Assist in planning and coordinating events, including venue bookings, setup, and materials to ensure smooth execution.Organizational SupportMaintain well-organized digital filing systems for easy access to important documents.Manage travel bookings for team members, Board members, and MFAC, including flights, accommodations, and transportation.Assist with basic financial tasks, such as processing invoices, expense reports, and purchase orders, in collaboration with the finance team.Manage and order office supplies to support day-to-day operations.Database and Information ManagementMaintain accurate and organized donor and volunteer databases to foster connections with supporters.General Administrative AssistanceStep in to support team members with ad-hoc tasks, research, and special projects as needed to help achieve shared goals and objectives.Goals & ObjectivesAdministrative ExcellenceProvide consistent and reliable administrative support, including timely email responses and assistance with immediate staff needs.Maintain well-organized schedules, ensuring timely coordination of meetings, appointments, and events.System and Process EfficiencyEstablish and manage clear, accessible filing systems for both digital and physical documents.Event and Database ManagementEnsure smooth planning and logistical support for team events, receiving positive feedback for effective coordination.Keep donor and volunteer databases up-to-date, enabling successful engagement and outreach efforts.Accuracy and TimelinessProcess invoices, expense reports, and purchase orders accurately, meeting required deadlines.Travel and Logistics SupportArrange seamless travel schedules for team members, addressing all logistical needs efficiently.Collaborative TeamworkRemain available to assist team members with various tasks, research, and projects to support the organization’s mission effectively.
