Job description

About Voyis:

Voyis designs and manufactures high-performance underwater optical sensors (lasers, cameras, lights) for underwater vehicles that expand capability and enhance understanding in underwater surveys and exploration. Our products have enabled our customers to survey more than 10,000km of ocean floor across all 7 continents, helping people better understand those remote, challenging environments. Our mission is to push the limits of what’s possible subsea and enable every underwater vehicle to see the depths like we see the surface.

All our products are proudly designed and built in Waterloo. Voyis operates independently and is part of Kraken Robotics.

What you’ll do:

As a Supply Chain Coordinator, you will be crucial in supporting the overall supply chain operations within Voyis. You will be responsible for purchasing system components and consumables for manufacturing. You will coordinate deliveries with suppliers to ensure delivery deadlines are met. You will conduct some shipping & receiving activities. You will report to the Director of Operations.
We are looking for someone who is eager to learn and work collaboratively with our multidisciplinary team to achieve industry-leading results. We are a small team with loads of exciting opportunities where everyone is expected to take ownership and push boundaries in order to achieve our goals, together.

Specific responsibilities include:

• Purchase parts, consumables, equipment, services, and other requirements as needed by manufacturing and supporting departments.
• Partner with internal departments to clarify purchasing requirements, obtain and evaluate quotations, select suitable suppliers, release purchase orders, and communicate order status.
• Negotiate pricing, lead times, payment and delivery terms, minimum order quantities, service levels, and other commercial conditions with suppliers.
• Monitor supplier confirmations, open purchase orders, lead times, shortages, and delivery risks.
• Expedite critical orders and proactively communicate issues to production planning and other stakeholders.
• Create and maintain accurate supplier, item, purchasing, and logistics records in the ERP system, including vendor information, part data, pricing, lead times, negotiated terms, and shipping instructions.
• Coordinate inbound and outbound shipments worldwide, including obtaining freight quotations, selecting carriers and service levels, scheduling pickups, tracking deliveries, and resolving freight issues.
• Prepare and retain accurate shipping, customs, and trade documentation in accordance with company procedures and applicable import and export requirements.
• Work with suppliers, accounting, quality, and end users to resolve purchase-order, receipt, pricing, freight, tax, invoice, quality, return, and credit discrepancies.
• Prepare and maintain purchasing and logistics reports covering spend, material consumption, open purchase orders, invoice discrepancies, freight costs, supplier delivery performance, lead times, and other relevant indicators.
• Support inventory accuracy through cycle counts, inventory transactions, discrepancy investigations, bin-location maintenance, and 5S or other workplace-organization initiatives.
• Provide backup support for receiving and warehousing activities, including inspecting deliveries for visible damage, verifying quantities and documentation, completing ERP receipts, labeling materials, and placing items in the correct storage locations.
• Create, maintain, and improve process documentation and work instructions for purchasing, supplier management, logistics, receiving, and inventory control.

Skills you will bring to the table:

• Experience in a supply chain operations role involving purchasing, supplier coordination, international logistics, inventory management, or a combination of these functions.
• Exceptional attention to detail and a demonstrated ability to maintain accurate records, follow through on commitments, and manage multiple priorities.
• Post-secondary education in purchasing, supply chain, operations, business, or a similar field.
• A positive attitude where you continuously strive for improvement and have the ability to succeed without all the answers.
• Strong communication and collaboration skills, with the ability to build productive relationships with suppliers and internal stakeholders across manufacturing, engineering, quality, finance, and facilities.
• Proficiency with ERP systems and Microsoft Excel, with the ability to analyze purchasing and logistics data, identify trends, and produce accurate reports.
• Strong organizational, problem-solving, and negotiation skills, with the ability to manage competing requests, follow up persistently, and respond calmly to shortages, delays, and changing priorities.

You'll Stand Out If You Have

• A degree or diploma in Supply Chain and Operations Management, Purchasing, or ASCM certification.
• Experience using an ERP system such as NetSuite.
• Exposure to hardware assembly, electronics or high-tech manufacturing environments.
• An interest in underwater technology, exploration, or robotics.
Not every great candidate checks every box. If this role excites you, we encourage you to apply. We value curiosity, problem-solving, and a growth mindset just as much as experience.

The Perks:

• 5 weeks of total time off, flexible work hours and a dedication to a work-life balance.
• Vacation purchase program
• Employee-directed personal education funds to drive continuous learning.
• Comprehensive Health Benefits: Health benefits from day one to support your overall wellbeing.
• RRSP Matching
• Regular company-wide social events

The Pay:

The salary range for this role is $50,000 to $65,000. Actual starting compensation is determined by factors such as (but not limited to) experience, skillset, and market considerations. We believe in rewarding growth, and employees who continue to build their skills and impact can expect opportunities for increased responsibility and compensation over time.

Why you should join Voyis:

Our team is made up of problem-solvers, passionate about pushing the boundaries of what’s possible underwater. We get excited about building cool stuff and working on exciting projects like going to the Titanic, Endurance (and lots of other shipwrecks too!). We are a small and closely-knit team. Each member of our team makes a significant impact not just on our business, but on our customers as well.

At Voyis we value diversity and we’re proud to be an equal opportunity workplace. We are committed to creating an inclusive environment for all. We do not discriminate on the basis of race, religion, colour, national origin, gender, sexual orientation, age, marital status, veteran status, or disability status. Please indicate on your application if you require accommodation on your application, and our team will work with you to meet your accessibility needs. We thank everyone who applies and for their interest in working for Voyis, however, only candidates selected for an interview will be contacted. No telephone or walk-in inquiries please.
