Job description
We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Vancouver, British Columbia. This role is ideal for someone who excels at managing daily administrative tasks, coordinating schedules, and providing exceptional support to a dynamic team. Your organizational skills and ability to work independently will be key to ensuring smooth operations and effective communication.

Responsibilities:
• Coordinate with building operations to address onsite issues and ensure timely resolutions.
• Liaise with vendors to follow up on requests and maintain effective communication.
• Manage shipping and receiving tasks, ensuring accurate tracking and timely delivery.
• Provide reception and concierge services, delivering a meticulous and welcoming experience.
• Support event planning and execution, including scheduling and logistical coordination.
• Respond to team needs by prioritizing tasks and managing schedules effectively.
• Handle inbound and outbound calls, ensuring prompt and courteous responses.
• Maintain accurate records and perform data entry tasks with attention to detail.
• Correspond through email, ensuring clear and timely communication.
• Utilize Microsoft Office tools to create documents, presentations, and manage spreadsheets.
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Strong customer service skills with the ability to assist clients and resolve inquiries effectively.
• Experience with customer service software and managing customer interactions.
• Ability to schedule appointments and coordinate calendars efficiently.
• Excellent communication skills, both verbal and written, for email correspondence and phone calls.
• Strong organizational skills with attention to detail in data entry and record-keeping.
• Capability to work independently and manage multiple tasks simultaneously.
• Familiarity with handling inbound and outbound calls with a focus on accuracy and attention to detail.
