Our Homecare Operations team is currently accepting applications for a Staffing & Office Assistant.
Responsibilities :
Reporting to : Manager, Rural Home Care Operations
- Coordinates client and staff schedules to ensure smooth service delivery. The role requires effective communication, strong organizational skills, and timely problem-solving to manage changes and maintain accurate records.
- Provides general office support, including but not limited to general administrative tasks, mail management, reception and communication, and client and visitor engagement.
- Collaborates with staffing officers, providing support and coverage to multiple Northwood sites.
- Provides general office support, including but not limited to general administrative tasks, mail management, reception and communication, and client and visitor engagement.
- Collaborates with staffing officers, providing support and coverage to multiple Northwood sites.
- Assigning and scheduling staff according to pre-approved requirements, standards and union contract.
- Scheduling Northwood-Victoria County clients / shifts in a designated area, with occasional support of other sites as needed.
- Working with Supervisors to address issues / concerns.
- Accepting new clients, processing Client increases, decreases and holds.
- Creating and maintaining current and advanced schedules.
- Communicating with Care Coordinators, Clients and Field Staff via Phone, email and software text.
- Tracking and reporting of entitlements for sick, vacation and personal.
- Accepting and approving vacation requests.
- Assigning and scheduling staff according to pre-approved requirements and standards
- Scheduling Victoria County Home Support Workers groups of clients / shifts in a designated area
- Works with Supervisors to address issues / concerns
- Accepting new clients, processing Client increases, decreases and Client on holds from Intake
- Creating and maintaining current and advanced schedules
- Communication with Clients and Field Staff via Phone, email and Procura text
- Accepting and approval of vacation requests via Portal
- Technology troubleshooting
- Completing other tasks as required
Qualifications :
Grade 12 or equivalentDegree / Diploma (minimum 2 year program) in Business or Computer TechnologyComputer software training required (e.g. Microsoft Office – Word, Excel, Outlook etc.)Experience working with AlayaCare preferred / an asset.One to two years of relevant work experienceComputer software training required (e.g. Microsoft Office – Word, Excel, Outlook etc.)Hours : 80 Hours Biweekly (8 Hour Shifts )
