We are looking for a self-motivated detail-oriented dynamic friendly organized and experienced Receptionist to become a part of our team. The ideal candidate will be a service-oriented person with excellent interpersonal skills who is punctual and professional in an office environment.
The Receptionist will :
Greet all clients and members and ensure the appropriate staff member is informed to assist them
Answer all incoming calls with an acceptable response time and redirect to the appropriate party
Manage the general voicemail and general e-mail accounts daily and redirect messages to appropriate parties
Maintain the corporate filing system send files to storage and create folders
Type occasional correspondence and other assignments as requested
Make arrangements for catering as required for Trustee Meetings and other scheduled meetings
Perform data entry updating member returned mail on system
Prepare the Boardroom half an hour before each meeting with supplies refreshments and a Wi-Fi check
Update the voicemail message for scheduled office closings
Receive all courier packages and advise the receiving party promptly
Monitor cameras
Assist with additional administrative duties as needed
To be successful as a Receptionist with McAteer Group of Companies you will need :
Previous professional receptionist / administrative experience in an office environment
Completion of High school diploma or equivalent
Basic / intermediate knowledge of the MS Office Suite - Word Excel Outlook
The ability to multi-task and prioritize
Strong organizational skills
The ability to work independently with little or no supervision
The ability to remain calm and professional in fast-paced situations
To be consistently punctual and reliable with the ability to work a 9 : 00am to 5 : 00pm schedule
