Job description

Opportunity

MacEwan University is seeking an adaptable Exam Coordinator for a full-time continuing opportunity with our Exam Services department. Reporting to the Manager, you will facilitate the effective delivery of services offered by MacEwan’s Exam Centre by coordinating exam resources, which includes scheduling shifts, assigning workloads, and supporting casual Exam Invigilators, serving as a resource for Exam Administrators and coordinating technology, testing aids and tools, and physical testing spaces. With your in-depth knowledge of the University’s available physical resources, you will help identify constraints and opportunities to inform service delivery and will regularly collaborates with the Manager to discuss staff workloads, upcoming projects, and schedule changes.

Key responsibilities include :

  • Coordinating exam schedules, resources, and seatings;
  • Ensuring the integrity and security of exams and exam-related information;
  • Managing the Exam Centre’s schedules to ensure qualified staff are in place during operating hours;
  • Serving as a resource and first point of contact for Exam Administrators;
  • Maintaining knowledge and understanding of the variety of technologies and formats used to meet the needs of students requiring accommodation;
  • Coordinating with internal stakeholders to ensure computers and other assistive technology are in good condition and troubleshooting any technical issues;
  • Serving as a subject matter expert of the Centre’s database and technology system, including building and updating process maps, performing testing, and developing training aides and resources to support the team;
  • Supporting Exam Invigilators and students in troubleshooting technical issues with exams;
  • Monitoring physical testing spaces and the Exam Centre, including helping to greet students, directing them to their seats, and managing any issues that come up throughout the examination process;
  • Providing reporting on operations to inform staffing, hours, and service delivery decisions;
  • Managing and coaching casual Exam Invigilators, including assignment of workloads, monitoring performance, supporting onboarding and training, preparing schedules, providing regular communications and finding coverage for absences;
  • Assisting in the recruitment and selection of Exam Invigilators;
  • Mediating and resolving conflicts and challenges;
  • Designing and maintaining training, educational materials, user guides, and reference documents in various mediums (, online, print, in person);
  • Assisting Faculty and students with Exam Centre-related questions;
  • Developing and maintaining effective processes and workflows across multiple service points to ensure a positive user experience;
  • Developing visual aids and other wayfinding tools and resources for visitors to the Exam Centre; and
  • Reviewing and updating the Exam Centre website.

  • Thorough knowledge and understanding of the variety of technologies, testing platforms and formats used to meet the needs of students requiring accommodation; and
  • Knowledge of disability-related barriers.
  • Qualifications

  • A minimum of a diploma in Business, Education, Administration, or a related field.
  • Experience creating and maintaining processes and participating in process improvement projects.
  • Experience in developing, delivering, and facilitating training materials.
  • Experience working in a post-secondary or related testing environment and leading a team in a unionized workplace are considered assets.
  • Experience working with adults with diverse needs in a learning environment and having training in trauma-informed practice are considered assets.
  • The completion of Mental Health First Aid is considered an asset.
  • An equivalent combination of education and experience may be considered.
  • Position Requirements

  • The ability to be flexible with your work schedule, which may include working some weekends and evenings to support operations.
