Responsibilities
Draft, review, and organize legal documents including contracts, subcontracts, NDAs, and corporate resolutions
Organize and maintain lawyers’ calendars, including scheduling meetings, deadlines, and appointments
Coordinate internal and external meetings, ensuring all relevant parties are notified and prepared
Track important litigation and contract dates, sending reminders as needed
Maintain and organize litigation files, legal department records, and case management systems.
Ensure all legal documents are properly filed, labeled, and easily accessible (both physical and digital)
Assist with the opening, closing, and archiving of files related to ongoing and completed matters
Assist in preparing materials for litigation, arbitration, or regulatory filings
Monitor and track deadlines for legal filings, permits, and licenses
Review rental agreements, credit applications, and Non-Disclosure Agreements for accuracy, completeness, and compliance
Draft routine correspondence, summaries, and legal forms as directed
Assist with the implementation and maintenance of legal department policies and procedures
Assist with the implementation and maintenance of legal policies and procedures
Always maintain confidentiality of sensitive legal and business information
Other duties as assigned
Technical Requirements
Paralegal diploma or certificate from a recognized institution or equivalent experience as stipulated below
Minimum of 2 years of experience as a paralegal, law clerk or legal assistant or similar role, preferably in a corporate or construction environment
Membership in the Canadian Association of Paralegals is considered an asset but not a requirement
Understanding corporate law, contract law, and regulatory compliance is an asset
Experience in the construction or real estate industry would be considered an asset
Familiarity with construction contracts (., CCDC documents) or willing to take seminars on them
Prior experience working with contractual documents, including drafting, reviewing, and organizing agreements
Business Requirements
Excellent organizational and time management skills
High attention to detail and ability to manage multiple priorities
Proficiency in Microsoft Office Suite and legal document management systems
Cultural Requirements
Strong interpersonal skills with confidence in communicating at all levels of the organization
