Job Title : Finance Director

Reports To : Principal

Start Date : August 5, 2025

Position Type : Permanent, 25–35 hours per week, 11 months per year

Position Summary

The Finance Director is responsible for managing the financial operations of the school, ensuring accuracy, transparency, and sound fiscal management in alignment with the school’s mission and regulatory requirements. This role combines strategic oversight with hands-on accounting duties and requires collaboration with the Principal, Board Treasurer, and Finance Committee.

Key Responsibilities

  • Maintain complete and accurate financial records using QuickBooks, including journal entries, bank reconciliations, and general ledger management.
  • Ensure compliance with GAAP standards and regulatory requirements.
  • Prepare and submit government filings, including HST rebates, T3010 Registered Charity Return, payroll remittances, and EHT.
  • Manage tuition billing and collection for local and international families
  • Oversee accounts receivable including

o Tuition management for local and international students

o Donation collection. All monies that are received by the school or committees must be reported to the office of the Director of Finance.

o Maintain a record of arrears, send statements to parents as needed, work with parents to develop a payment plan for arrears, and present to the Finance Committee and Treasurer for assistance with uncollectible arrears.

  • Issue tax receipts for donations and grants; coordinate donor acknowledgments with the Advancement Director.
  • Handle accounts payable, ensuring proper approvals and documentation.
  • Administer all payroll functions, including :
  • o Generating contracts (in coordination with the Principal / Board)

    o Running payroll

    o Managing CSI pension and insurance programs

    o Issuing T4s and OCT receipts

  • Provide monthly, quarterly, and annual financial reports with budget-to-actual analysis and variance explanations.
  • Coordinate with external accountants and auditors to support annual audit preparation.
  • Support internal controls and proper handling of income, expenses, and capital expenditures.
  • Assist the Finance Committee with cash flow monitoring, forecasting, and financial trend analysis.
  • Report regularly on tuition assistance disbursements and arrears.
  • B. Strategic & Financial Planning

  • Lead the budgeting process in collaboration with the Board Treasurer, Finance Committee, and school leadership.
  • Develop multi-year financial models and assist with strategic planning.
  • Provide financial guidance to budget managers and department heads.
  • Support long-term financial sustainability by identifying risks and opportunities.
  • Maintain and oversee risk assessment procedures and insurance coverage for staff, students, and facilities.
  • Ensure compliance with CRA regulations, WSIB, and other governmental reporting requirements.
  • Oversee completion and filing of annual charitable tax returns and other required filings.
  • Manage contracts with vendors, service providers, and legal agreements.
  • Enforce fraud prevention policies and maintain separation of duties for cash management.
  • D. Committees & Other Involvement

  • Chair the Finance Committee.
  • Chair the Tuition Assistance Committee, collaborating with the Admissions Coordinator, Advancement Director, Principal, and Board to allocate tuition support.
  • Serve as a financial resource to the school’s leadership and community.
  • Qualifications & Skills

  • Minimum 2-year diploma in accounting, finance, or related field
  • Minimum 5 years of full-cycle accounting experience
  • Experience managing group insurance and pension plans
  • Familiarity with non-profit accounting and CRA charity compliance
  • Strong knowledge of Revenue Canada, WSIB, and employment-related filings
  • Preferred : Experience in educational or non-profit environments
  • Preferred : Experience with tuition assistance platforms such as FAST
  • Demonstrated analytical and problem-solving skills
  • Excellent communication and interpersonal skills
  • Ability to clearly interpret and present financial data to non-financial stakeholders
  • Compensation

    The salary will be commensurate with the candidate’s experience and qualifications and will be discussed during the hiring process.
