Introduction
This competition will be used to fill bilingual (English / French) positions at the Administrative Secretary (AY3) level of varying employment tenures, locations, language requirements and conditions of employment, depending on the needs of the positions being staffed. Qualifications : Essential :
Experience performing varied administrative, secretarial, and clerical support in a professional and fast-paced office environmentExperience performing reception duties including screening, directing calls and responding to inquiries from the publicExperience handling sensitive information with a high level of professionalism, confidentiality, and discretionExperience with Microsoft Office including Word, Outlook, Excel, and PowerPoint, or other similar software applicationsEffective organizational and time management skills with the ability to prioritize workload, meet deadlines, and work under pressure in a rapidly changing environmentStrong verbal communication skills in FrenchStrong written communication skills in English and French to draft, review, and edit correspondence, letters, memos, advisory notes, and reportsAbility to take initiative and work independently with minimal supervisionStrong interpersonal skills with the ability to work effectively and build relationships with colleagues and clientsExperience creating and maintaining physical and electronic filing and tracking systemsStrong problem-solving and decision-making skills with the ability to use discretion and independent judgment involving non-routine issuesDesired :
Experience working with database programsExperience with general office financial administration, e.g., processing invoices for paymentsDuties : The Bilingual Administrative Secretary performs a wide range of duties to support the branch or division to ensure operational requirements and documentation flow needs are met. Primary duties include receiving, preparing, formatting, and distributing correspondence and documentation, compiling, and updating information, maintaining records and electronic filing systems, scheduling meetings, and providing first point of contact reception duties.
