We are looking for a highly organized and detail-oriented Transition Coordinator to join our team in Toronto, Ontario. In this role, you will oversee complex transfer requests and ensure seamless transitions for elite clients, including Portfolio Managers and Introducing Brokers. As part of a collaborative team, you will play a key role in enhancing client experiences and driving process improvements. This is a long-term contract position offering a dynamic and engaging work environment.
Responsibilities :
- Investigate and process complex asset transfer requests with precision and attention to detail.
- Manage transition mailboxes and ensure transfers are initiated or reviewed within established service level agreements.
- Communicate with clients regarding incomplete transfer submissions and provide clear explanations for any rejections.
- Re-submit rejected transfer requests in compliance with requirements to ensure successful processing.
- Handle cash and securities journal entries efficiently and accurately.
- Collaborate with clients to resolve outstanding issues related to account transitions and provide excellent support.
- Identify trends in transfer initiation, asset rejections, and other processes to recommend improvements.
- Draft and update user guides and training materials to support process clarity and employee development.
- Generate both scheduled and ad-hoc reports for internal and external stakeholders.
- Participate in high-volume periods requiring overtime and maintain high performance under pressure.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Strong verbal and written communication skills in English; bilingual proficiency in French is an asset.
- Demonstrated ability to manage time effectively and prioritize tasks in a fast-paced environment.
- Experience in client service roles with a focus on delivering exceptional experiences.
- Knowledge of trading, account transitions, and service level agreements.
- Ability to diagnose problems, identify solutions, and implement process improvements.
- Collaborative mindset with excellent interpersonal skills and the ability to work as part of a team.
- Self-motivated and proactive, requiring minimal supervision to complete tasks effectively.
