Position: Bilingual Booking Agent

Hours: Full-time, Monday-Friday with rotating hours, 8 hour shifts

Contract: Fixed-term, 10 month

Location: Remote

We are a national provider of workplace medical testing and assessments based in Ayr, Ontario. We have Occupational Health Clinics in Kitchener, Sarnia, Mississauga, Calgary, Nisku, Edmonton and Fort McMurray. Dedication to customer satisfaction, fast and accurate turnaround of test results, flexibility, persistence and accountability are of the utmost importance.

The Booking Agent is responsible for handling customer service matters through a variety of channels such as email, telephone and electronic requests while working independently to book testing for our clients in a fast-paced contact center environment. Agents are expected to meet or exceed call volume expectations each day for various types of Drug & Alcohol and Occupational Health testing.

This position is completely remote. You will be responsible to work in conjunction with the Contact Centre Management Team.

Primary duties and responsibilities:

  • Manage large amounts of inbound calls in a professional, friendly and positive manner
  • Provide an outstanding customer experience to both external and internal customers while ensuring that calls are answered within the accepted standard handle time
  • Book drug, alcohol and occupational health appointments for our clients
  • Quickly identify and solve problems on the spot to address inquiries regarding booked appointments
  • Manage incoming appointment requests from department inbox and respond in a timely manner with attention to detail
  • Utilize the internal e2 program to ensure accurate bookings using the most convenient and cost-efficient sites for clients to get their medical testing and/or assessments completed
  • Quick and accurate data entry into our internal (Emanda) e2 system to book appointments
  • Provide detailed documentation to both clients and participants
  • Take responsibility to resolve issues from beginning to end and seek assistance when necessary

What you need to be successful in the role:

  • High School Diploma
  • Previous call centre experience in a fast pasted environment is considered an asset
  • Thrive in a multitasking, fast-paced environment with constantly changing priorities
  • Active listener, with a passion to assist, advise, empathize, de-escalate and negotiate with customers in a manner that creates a superior customer experience
  • Conceptual thinker with exceptional analytical skills, able to identify challenges and develop a critical path to solve problems
  • The ability to communicate in French (both written and verbal) is considered an asset
  • Detail oriented and accurate
  • Demonstrate excellent critical thinking, decision-making and problem-solving skills
  • Conscientious, flexible and adaptable

Nous sommes un fournisseur national de tests et d'évaluations médicales en milieu de travail basé à Ayr, en Ontario. Nous disposons de cliniques de santé au travail à Kitchener, Sarnia, Mississauga, Calgary, Nisku, Edmonton et Fort McMurray. Le dévouement à la satisfaction du client, la rapidité et la précision des résultats des tests, la flexibilité, la persévérance et la responsabilité sont des qualités essentielles.

L'agent de réservation est chargé de traiter les demandes du service clientèle par divers canaux, tels que les e-mails, les appels téléphoniques et les demandes électroniques, tout en travaillant de manière autonome pour réserver des tests pour nos clients dans un environnement de centre d'appels au rythme soutenu. Les agents doivent atteindre ou dépasser chaque jour les objectifs en matière de volume d'appels pour différents types de tests de dépistage de drogues et d'alcool et de tests de santé au travail.

Ce poste est entièrement à distance. Vous serez amené à travailler en collaboration avec l'équipe de gestion du centre d'appels.

Principales tâches et responsabilités :

  • Gérer un grand nombre d'appels entrants de manière professionnelle, amicale et positive.
  • Offrir une expérience client exceptionnelle aux clients externes et internes tout en veillant à ce que les appels soient traités dans les délais standard acceptés.
  • Prendre des rendez-vous pour nos clients dans le domaine de la toxicomanie, de l'alcoolisme et de la santé au travail.
  • Identifier et résoudre rapidement les problèmes sur place afin de répondre aux demandes concernant les rendez-vous pris.
  • Gérer les demandes de rendez-vous entrantes provenant de la boîte de réception du service et y répondre en temps utile, en prêtant attention aux détails.
  • Utiliser le programme interne e2 pour garantir l'exactitude des réservations en utilisant les sites les plus pratiques et les plus rentables pour que les clients puissent passer leurs tests médicaux et/ou leurs évaluations.
  • Saisir rapidement et avec précision les données dans notre système interne (Emanda) e2 pour prendre les rendez-vous.
  • Fournir une documentation détaillée aux clients et aux participants.
  • Assumer la responsabilité de résoudre les problèmes du début à la fin et demander de l'aide si nécessaire.

Ce dont vous avez besoin pour réussir dans ce poste :

  • Diplôme d'études secondaires
  • Une expérience préalable dans un centre d'appels au rythme soutenu est considérée comme un atout.
  • Capacité à s'épanouir dans un environnement multitâche et dynamique, où les priorités changent constamment.
  • Capacité d'écoute active, passion pour l'assistance, le conseil, l'empathie, la désescalade et la négociation avec les clients, de manière à créer une expérience client supérieure.
  • Esprit conceptuel doté de compétences analytiques exceptionnelles, capable d'identifier les défis et d'élaborer une voie critique pour résoudre les problèmes
  • La capacité à communiquer en français (à l'écrit et à l'oral) est considérée comme un atout
  • Souci du détail et précision
  • Faire preuve d'un excellent esprit critique, d'une grande capacité de prise de décision et de résolution de problèmes
  • Consciencieux, flexible et adaptable
