Job description

Working under the direction of the Manager of Early Years Services the Program Coordinator II is responsible for all administrative duties and program management support related to the smooth functioning of various early years services. This position provides program, operations, communications, and administrative support and coordination of a variety of programs.

The Key Areas of Responsibility are :

  • Track Early-years program deliverables to ensure successful program implementation and monitoring,
  • Provides guidance and support in the compilation of reporting for various funders and programs within the department,
  • Oversees the day-to-day operation of the program by coordinating necessary facilities (office space sharing, virtual platforms) and equipment (office supplies & resource manuals),
  • Provides support and input for program guidelines and policies (such as mandatory training attendance), program standards, and licensing requirements,
  • Maintains related records and statistics for input to the quarterly and annual reports,
  • Ensuring accurate timely completion of data into the new track system,
  • Coordinates monthly program meetings,
  • Provide administrative guidance on invoicing and reconciliation of program expenses,
  • Represents the organization or program in external meetings / events where necessary,
  • Shares and collects mutually relevant information with internal departments and community partners; Facilitates referrals to the program,
  • Promotes public awareness of and support for the program using promotional materials, conducting marketing campaigns, and attending community events,
  • Researches and compiles a comprehensive database of community resources networks,
  • Supervise program administrative assistant and Early childhood educators,
  • Lead the recruitment and hiring of program volunteers,
  • Provide input for program capacity building,
  • Completes all other related tasks as assigned by the Manager.

Qualified candidates will possess :

  • A post-secondary degree in social services, humanities, or other relevant field of work and more than 2 years of relevant work in the community / social services sector,
  • A recent experience supporting Early years refugee programs is required,
  • Experience in community outreach and event planning,
  • Experience working with diverse and multi-lingual groups,
  • Knowledge of refugee, newcomer, and migration challenges,
  • Knowledge of community resources for families with school-age children,
  • Excellent problem-solving ability, communication skills, discretion, and judgment,
  • The ability to work collectively in a team environment,
  • Strong English language written skills,
  • Fluency in an additional language is an asset.
