Job Summary
The Parts Coordinator is responsible for supporting Dealers with aftermarket parts inquiries and sales, including processing parts orders and Incident Report (IR) requests. This role works closely with internal departments, suppliers, and Dealers to ensure accurate quoting, timely order fulfillment, and consistent communication, contributing to a high-quality customer experience.
Key Responsibilities
- Obtain required information from Dealers to prepare accurate parts quotes.
- Coordinate with internal departments and suppliers on pricing, availability, and lead times for non-standard parts requests.
- Ensure timely and professional responses to internal and external customer inquiries.
- Verify dealer status and credit approval prior to quote issuance and order processing.
- Process parts orders from approved quotes, dealer purchase orders, and Incident Report documentation, ensuring all information is complete and accurate.
- Schedule parts orders and maintain order status using the Heijunka Board.
- Follow up with Purchasing to confirm parts availability and delivery timelines.
- Coordinate with Shipping to ensure orders are shipped as scheduled and communicate any changes to Dealers.
- Prepare and issue non-warranty RGA documentation as required.
- Maintain accurate records and follow established procedures in compliance with ISO quality standards.
- Prepare standard weekly and monthly sales reports for the Director of Sales, as required.
- Identify training needs within the role and discuss opportunities with the Field Service & Parts Supervisor.
- Participate in training programs and continuous improvement initiatives.
- Perform other duties as assigned.
Health & Safety Responsibilities
Comply with all company health, safety, environmental, and quality policies and procedures.Fulfill worker responsibilities under the Occupational Health & Safety Act, including the right to refuse unsafe work.Report hazards, near misses, incidents, and compliance issues promptly.Participate in investigations and corrective actions related to health and safety incidents.Adhere to workplace violence and harassment prevention policies (Bill 168).Attend required Environmental Health & Safety training.Knowledge, Skills & Abilities
Strong interpersonal and communication skills (written and verbal).Proficiency with Microsoft Office and related software applications.Excellent organizational, time management, and multitasking abilities.Strong attention to detail with a high standard for accuracy.Effective problem-solving and analytical skills.Ability to work independently in a fast-paced, collaborative environment.Strong work ethic with a customer-focused mindset.Education Requirements
High school diploma or equivalent.Post-secondary education in a related field is considered an asset.Experience RequirementsMinimum of one year experience in sales and / or customer service.Minimum of one year experience in a manufacturing environment.Previous administrative experience required.Experience in the door industry is preferred.Why You’ll Love Working Here
