The Opportunity
The Administrative Officer supports the program area by ensuring that it operates efficiently. The incumbent assists Association subgroups, sits as the Administrative Officer for select Association committees, prepares reports, coordinates workshops and seminars, and supervises support staff. Specific duties include :
Guiding support staff by directing, overseeing and managing and documenting their performance.Monitoring the work of support staff to ensure that they meet standards, requirements and deadlines.Hiring, training and monitoring staff and ensuring that they have access to professional development opportunities.Providing information to subgroups regarding their operations, preparing charters for new subgroups, tracking local anniversary dates, preparing certificates and notifying subgroup secretaries of pertinent matters.Providing administrative support for subgroups that are revising their constitutions by tracking changes, recording the reason for the change, reviewing the draft, ensuring correct process is followed for constitutional amendments, creating the addendum for meetings of Table Officers Committee and offering other assistance as required.Providing administrative support in revising local and sublocal constitutions by tracking changes, recording the reason for the change, reviewing the draft, creating the addendum for meetings of Table Officers Committee and offering other assistance as required.Arranging annual training seminars for subgroup treasurers, secretaries and webmasters.Acting as administrator for the Local Executive, the School Representative and Student Local collaboration sites.Assisting with production of handbooks for local secretaries, school representatives and student locals.Coordinating all logistical requirements for the Student Local Conference by finalizing contracts for the venue, advertising, managing registration, arranging accommodation and catering and preparing conference materials.Processing grant-in-aid claims from students and local members attending the Student Local Conference, Local Secretaries Seminar, Local Treasurers Seminar and Leadership Essentials.Processing grants to enable eligible members of student locals to attend the Western Canadian Association for Student Teaching (WestCAST) annual conference.Tracking requests from members, school boards and subgroups for workshops and seminars and collaborating with staff officers to determine which workshops and seminars will be offered and who will present them.In consultation with the conference director, providing administrative support for the biennial Legal Issues for School Administrators Conference by finalizing contracts for the venue, deciding on a theme, finding advertisers, managing registration, arranging accommodation and catering, preparing conference materials and arranging tax-exemptions for guest speakers.Generating reports that reveal trends in calls received by Teacher Employment Services staff.Reviewing and collaborating on news articles, web and social media content, and collateral for Association elections and by-elections.Developing, implementing and evaluating materials and plans for Association elections and by-elections.Planning, organizing and supporting the campaigns of Association nominees for elected office in the bi-annual PEC elections and any by-elections.If you have :
A bachelor’s degree in business administration or a related field.Three years of progressive administrative and supervisory experience in a professional setting. Equivalencies with education may be considered.Experience using Microsoft Power BI is an asset.Experience working in a member-driven association is an asset.Proficiency in using Microsoft Office applications.Strong customer-service, relationship-building and interpersonal skills.Strong critical-thinking and problem-solving skills.The ability to organize, plan, multitask, manage shifting priorities and work with several stakeholders concurrently.Superior written and verbal communication skills and a proven ability to edit, proofread and attend to details.Sound judgment in handling sensitive matters and in maintaining confidentiality.The ability to remain calm and professional in stressful situations.The ability to work both independently and as part of a team.Please apply by : Submitting a cover letter and resume by 4 : 00PM on Tuesday, December 10, 2024.
