The Office assistant will support the management team in coordinating key operational functions across production, inventory, safety, and general office administration. This role supports day-to-day plant operations by managing purchase orders and invoices in D365, performing inventory activities, coordinating shipments, and providing administrative support to the warehouse and office teams. The position also contributes to workplace safety initiatives, supports employee onboarding, maintains office supply levels, and ensures efficient operation of office equipment. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a manufacturing environment.
ESSENTIAL FUNCTIONS
- Creating and submitting PO’s, and confirming receipt of invoices using inventory software (D365)
- Support the maintenance department by sourcing parts and completing administrative tasks.
- Coordinate outbound shipments of all FedEx, UPS, Purolator and small courier shipments
- Perform inventory counts in a manufacturing environment (raw materials, work in progress, and finished goods)
- Enter inventory data into the computer, using purchase orders, receiving records, and production sheets.
- Assist with end of month inventory, checking finished products and helping reconcile any inventory discrepancies.
- Purchase office supplies and maintain inventory levels
- Support warehouse with notifying customers when shipments are ready, arranging pickups and confirming shipments in the D365.
- Maintain confidentiality of correspondence, documents, discussions, meetings and telephone calls
- Complete accident reports (First Report of Injury, OSHA Log), file and follow-up with appropriate agencies
- Support the OHS committee with weekly safety talk development and tracking. As well as tracking, summarizing and posting the minutes from the monthly safety meetings.
- Support the onboarding of new staff
- Oversee the operation of office machines such as copier / fax, phone and mail machine and computer equipment
- Responsible for self-involvement, team involvement and execution of tasks relative to achieving annual departmental goals.
