Your opportunity :

We are looking for an enthusiastic and collaborative Communications and Departmental Assistant to join our team.

As Communications Assistant, you will support the Chair or designate to ensure clear, coherent, coordinated and timely communication of the Department’s message across all channels. You will manage the Department’s internal and external communications on all programming, teaching and research related activities. In collaboration with various stakeholders, you will coordinate the preparation of high-quality communication materials, disseminate information, update and maintain the department’s website and social media presence and maintain a repository of digital media records.

As Departmental Assistant, you will assist our Curriculum and Programming Office in running our programming and recruitment events, and in providing student services on general inquiries, field placements, data collection and report generation, among others.

This role requires someone who is proactive, can work with minimal supervision and appreciates our unique environment by demonstrating a commitment to collaboration and teamwork.

Your responsibilities will include :

  • Fostering cooperative working relationships with a wide variety of internal and external contacts
  • Coordinating the preparation and distribution of promotional / outreach materials
  • Drafting and editing content for print and / or online communications channels
  • Designing templates to ensure consistent brand and accessibility standards
  • Maintaining information on digital platforms
  • Creating and maintaining presence on social media platforms
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Coordinating meeting schedules, agendas, materials, action and follow-up items

Essential Qualifications :

  • Bachelor's Degree in communications, marketing, public relations or a related field or acceptable combination of equivalent experience
  • Minimum 3 years of related and demonstrated experience in a marketing and / or communications position.
  • Superior written and verbal communication skills
  • Strong time management and organizational skills
  • Experience with website maintenance and updates through content management systems (e.g. Drupal, WordPress)
  • Proven experience in graphic design and managing social media platforms, including but not limited to X (Twitter), Facebook and Instagram.
  • Proficient in Microsoft Office, graphic design and image editing software (e.g. Photoshop, Illustrator, InDesign), and web analytics (e.g. Google Analytics)
  • Strong attention to details
  • Demonstrated initiative and self-motivation
  • Demonstrated ability to collaborate in a team environment, and accountability when working independently

  • Assets (Nonessential) :

  • Demonstrated marketing / communications experience working in arts or media-based organizations, post-secondary or not-for-profit sectors
  • Familiarity with video-editing software (e.g. Adobe Premiere, DaVinci Resolve)
  • Knowledge of copyright rules and procedures
