What You Will Do
Reporting to the Regional Lead Project Coordinator, responsibilities include but are not limited to assisting the Construction Managers and Project Managers with coordination / documentation, ordering of equipment for Install base projects including day-to-day general office duties as assigned for fire alarm, suppression and sprinkler.
How You Will Do It
Operations Administrative Support uploading and maintaining Projects and Contracts via Job Design / BBIMonitor the status of projects (fire alarm, suppression, sprinkler)Communicate with customers and sales reps as to when material and / or labor is requiredEnsure that the required engineering is performed to meet customer expectationsCoordinate with TIS supervisor and / or the construction manager the customer’s labor requirementsOrder equipment, and ensure that the customer receives the material when neededReport to department managers on project statusProcess change orders, releasing equipment, filing Certificate of Insurance, and Warranty LettersBilling of projects; compiling back-ups such as Certified Payroll, work tickets etc.Handling customer / contract disputes as neededCoordinate the delivery of equipment to the job siteCoordinate delivery of close-out documentsCreation of purchase orders for subcontractorsProcurement and verification of project schedulesAttend work-in-progress meetingsTracking of project RFI’s, change orders and other pertinent documentationCoordination / Follow Ups with Sales Team in regard to project bookings, releasing of jobs from COE / Credit holds etc.Assist with Accounts Receivable (AR)Act as the facilitator and point-person for information sharing between OTC, District, and select customers as directed by ACSMSupport Dispute Resolution in resolving disputes when requested by the AR Collectors or the Dispute teamContact customers when identified as necessary as part of DMS or for very simple reasonsResponsible for accounts payableResponsible for new vendor set upTime entry / payroll for field crew and project managersCost transfersWhat we look for
Required
Proficient in Microsoft Windows, Word, Excel, Power Point.Knowledge of ACE, OAsys, Job Cost Systems.Valid driver's license with a good driving recordHigh School diploma or equivalentAbility to multitask and prioritize among assignments with a strong adherence to deadlinesExcellent verbal and written communication skillsMust be organized, detail-oriented and self-motivating.Must pass a pre-employment background checkPositive Attitude, Punctual and AccountableExperience dealing with customersMust be Bilingual in English and French.Preferred
Associate's Degree preferred3 to 5 years of related experienceExperience in a high-volume, customer service-oriented positionElectrical / Fire and Sprinkler industry experience preferredHIRING SALARY RANGE : $54,000-68,000 (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, location and alignment with market data.)
