Job Summary

A Brief Overview

Reporting to the Manager, Student Services, the Academic Program Coordinator is responsible for carrying out complex administrative tasks associated with data administration in support of the Faculty of Education programs. This includes timetabling, enrolment, application and registration processes, tracking student progress, reporting, documentation, and process mapping. This role is the primary point of contact for academic and ad hoc room bookings in Duncan McArthur Hall, as well as for reporting requirements with the Ontario College of Teachers. The Academic Program Coordinator will assist in creating and maintaining digital forms and lead document administration for the admissions process. This position will also provide administrative support with office processes. The incumbent supports the data and reporting needs of Student Services staff throughout the business cycle. This position requires a high level of attention to detail to perform quality assurance review, ensuring accuracy and integrity of data.

This position builds database queries to generate relevant information, and interpret and communicate results. This position produces data for information requests. This position audits database to ensure to data accuracy and quality. This position also drafts various electronic forms, mail templates, and report templates.

What you will do

  • Builds database queries to generate relevant information, and interpret and communicate results.
  • Produces data for both ad hoc and routine information requests such as annual reports and monthly reports.
  • Updates and maintains databases, and analyzes and prepares reports
  • Audits database to ensure to data accuracy and quality.
  • Acts as a resource to others on data collection methods and database management.
  • Coordinates student enrollment, evaluates student transcripts, and ensure registrations are processed to meet deadlines.
  • Coordinates and oversees data administration processes during the application, admission, scheduling, registration, and graduation cycles.
  • Provides administrative support including scheduling, room bookings, course changes, and degree lists.
  • Coordinates timetabling of courses.
  • Develops, administers and compiles evaluations and / or surveys including distribution and collection.
  • Coordinates all building room bookings, by internal and external participants.
  • Develops queries and reports from administrative databases and PeopleSoft.
  • Operates data capture technology to import digitized documents (e.g., transcripts, notes) into document management systems.
  • Proposes and facilitates improvements to processes, including automation of manual processes.
  • Provides assistance, where necessary, to Student Services staff, during peak periods.
  • Coordinates collection of accreditation reports and sends to accreditation body.
  • Other duties as required in support of the department and / or unit.

Required Education

  • Three-year Community College Diploma or Three-Year Bachelor Degree, or equivalent.
  • Required Experience

  • More than 2 years and up to and including 3 years of experience.
  • Experience in Enterprise Resource Planning (ERP) Systems Administration considered an asset (e.g., Oracle-PeopleSoft, etc.).
  • Experience with software and web technologies considered an asset (e.g., ServiceNow, Customer Relationship Management (CRM), other software packaging, etc.).
  • Consideration may be given to an equivalent combination of education and experience.

  • Participate in project team meetings and develop individual project plans.
  • Lead procedural or technological change within a unit.
  • Identify new problems and seek information and input to fully understand the cause of problems.
  • Identify opportunities to improve the effectiveness and efficiency of work processes.
  • Draw logical conclusions and provides opinions and recommendations.
