About the library

In keeping with the ambitious vision and core aspirations of Transformation 2030, the University of Ottawa Library advances leading-edge research and supports transformative learning by connecting the uOttawa community to expertise, services, collections and technology in a welcoming and supportive environment.

The University of Ottawa Library consists of three main libraries - the Morisset Library (arts and sciences), the Brian Dickson Law Library and the Health Sciences Library - in addition to a number of specialized research collections.

It employs some 150 staff, including 55 librarians, serving students, faculty and staff of the University.

Job purpose

Perform tasks related to pre-ordering bibliographic research, ordering, paying for, receiving, claiming, cancelling or returning all materials ordered by the library.

In this role, your responsibilities will include the following :

  • Search for bibliographic information (author, title, ISBN, ISSN, subjects, LC ratings) and commercial information (format, price, access) required to order all documents for the library on specialized suppliers' or publishers' websites.
  • Purchase library goods by credit card in accordance with all relevant policies. Create or upload purchase orders to the Integrated Library System (ILS) so that orders are visible in the public catalog.
  • Receive and validate materials received and perform analysis to determine what should be retained. Record receipt of materials in the integrated library system to update the public catalog.
  • Register invoices in the acquisition module and certify their accuracy. Make payments to suppliers in accordance with established policies and procedures and follow up, including reconciliation of payments;

claim and process credits and renewals.

Act as a resource to department members and suppliers regarding the acquisition of goods to explain processes, timelines and practices.

What you bring :

  • Post-secondary training in Documentation Techniques or Library and Information or equivalent combination of education and work experience.
  • At least one year's experience with an integrated library system, particularly the acquisitions management module.Knowledge of bibliographic tools used to acquire print or electronic documents.
  • Knowledge of accounting principles to evaluate and certify invoice payments.
  • Organizational skills, ability to work effectively under pressure.
  • Attention to detail.
  • Experience in the use of computer systems and software such as word processing, spreadsheets, databases, e-mail and internet.
  • Ability to load, unload and move boxes weighing up to 40 lbs.
  • Bilingualism - French and English (oral and written).

Prior to May 1, 2022, the University required all students, faculty, staff, and visitors (including contractors) to be fully vaccinated against Covid-19 as defined in Policy 129 Covid-19 Vaccination.

This policy was suspended effective May 1, 2022 but may be reinstated at any point in the future depending on public health guidelines and the recommendations of experts.
