Job Title : Administrative Support - Administrative Assistant

Looking for an Administrative Assistant who has great people skills, diligent proactive worker, team player, energetic and computer proficient, where the successful candidate will be responsible for the following : Greeting & signing in visitors; Processing all incoming and outgoing shipments (domestic & international with Fedex), along with invoice reconciliation and payment. Will include delivery of packages / shipments - some lifting (~ lbs) required; In addition weekly delivery of fruit and snacks (~ lbs); Security Badge management : issue new hire / visitor / contractor / / employee temporary / building access badges; taking photos of new hires, printing badges from the card printer, monthly card validation, along with maintaining an Inventory List; Pick-up & sort incoming Canada Post mail, along with communicating & coordinating with employees; Ordering and maintaining beverage supplies, along with monthly invoice reconciliation; Coordinate catering, room set-up & tear down for main training room. Includes opening & closing of room divider wall, setting up training tables and lifting chairs for classroom setting; Conference and break room up-keep; Providing backup support for other Admin staff as required and special projects such as team events as needed; Arrange business travel and also submit PO Requisitions, when required; Proficient in use of : Microsoft TEAMS; Microsoft Office (Outlook, Excel, Word, Powerpoint); Oracle; Fedex Shipping Module; Concur Online Travel Booking Tool & SAP Concur Expense / Corporate credit card. Work experience in the hi-tech industry would be preferred. Demonstrate professional communication skills, written and verbal - Prioritize workload and multi-task effectively - Sound working knowledge of office equipment - Maintain a positive, professional attitude and be a team player - Provide a high level of customer service under all conditions - Relevant work experience - Require additional admin support at Reception as our site has increased in size. -month assignment

Provides administrative assistance to one or more first or second-level level managers, a department, or office. Researches, learns, and applies knowledge of industry standards in various administrative areas, including policies, guidelines, and procedures. Leverages proficiency in various types of software including Microsoft Office Suite (Outlook, Word, Excel, & PowerPoint) and shared file services (SharePoint, MS Teams, OneDrive, etc.) to provide effective and efficient support. Assignments may be of a diverse scope and related to various functional areas.

High School diploma or equivalent.

  • years of Administrative Assistant experience.

  • year of work experience in a role requiring interaction with upper management.
  • Principal Duties and Responsibilities :

    Provides assistance and support to first or second level managers, a department or an off-site office.

    Researches and learns departmental / company policies and procedures.

    Manages basic calendar needs for one or more manager.

    Prepares and proofs correspondences, reports, spreadsheets, and presentations with appropriate syntax and grammar.

    Completes various office tasks (, iProc creation, using a Pcard, maintaining office files, supplies, and equipment, submitting expense reports and checking requests, arranging for shipping, maintaining vendor database, etc.).

    Coordinates basic, domestic travel (flights, hotel, rental cars, etc.) for a single traveler.

    Answers internal (with exposure / requests from managers) and external phone calls.

    Schedules and coordinates various types of meetings including luncheons, conferences, and team building events. These events may include external customers and vendors.

    Level of Responsibility :

    Working under supervision.

    Taking responsibility for own work and making ethical decisions with some impact.

    Using verbal and written communication skills to convey factual information about day-to-day activities.

    Completing most tasks with multiple steps which can be performed in various orders; planning and prioritization must occur to complete the tasks effectively; mistakes may result in some rework.

    Solving basic problems; most problems have defined processes; some limited analysis may be required.

    The responsibilities of this role do not include :

    Does not provide supervision to others.
