Data Administrator

Edmonton, Onsite

Contract, 11 months

Job Summary :

Reporting to the Training & Accreditation Team Lead, the Data Administrator will provide essential administrative and clerical support to the team. The role involves managing various data-related tasks, assisting with training and accreditation activities, and supporting project documentation and coordination efforts.

Key Responsibilities :

Training & Accreditation Support :

Monitor the Training & Accreditation mailbox, processing exam bookings, rebookings, rescheduling, and cancellations.

Handle general inquiries related to eLearning, exams, and the Learning Management System (LMS).

Update personal information in databases and deactivate access when necessary.

Proofread and edit eLearning scripts and other documents.

Oversee the training inbox BOT (Oscar) by analyzing and reconciling status reports.

Rectify errors related to data scraping from handwritten form submissions.

Ensure timely confirmation emails for booked exams and report system bugs.

Perform account creation, exam content group assignments, and eLearning assignments.

Conduct credential verification and user account updates.

Reconcile duplicate accounts and address system access issues.

Maintain database by updating files and managing file reconciliation.

Perform administrative duties such as file management, maintaining naming conventions, and recording outages in the training inbox Outlook Calendar.

Submit and manage BERNIE requests to support clients. Project and Program Support :

Capture meeting minutes and document project action items.

Assist with the documentation and development of processes and procedures.

Follow up with project teams to ensure adherence to timelines and deliverables.

Prepare project meeting agendas and stakeholder consultation materials.

Schedule and attend project team meetings as required.

Requirements :

Previous experience in administrative or data management roles.

Strong proficiency in Microsoft Office Suite, database management, and Learning Management Systems.

Experience with ARTS would be considered an asset.

Excellent attention to detail, organization, and problem-solving skills.

Strong written and verbal communication abilities.

Ability to multitask and work in a fast-paced environment.

Familiarity with privacy regulations such as the Freedom of Information and Protection of Privacy Act.
