Administrative Assistant

Job Type : Permanent, Full-time (40 hours per week)

Location : Fort McMurray, AB

The Administrative Assistant  is responsible for fostering a strong relationship between the clinic and its customers, as well as staff, funders and referral sources. This is achieved by efficiently providing administrative support and coordinating clinic activity with friendly, enthusiastic and professional service.

Responsibilities

  • Answer telephone calls, respond to emails, greet clients and visitors upon arrival, and provide excellent customer service
  • Coordinate scheduling of client appointments and communicate the details clearly
  • Complete data entry and billing
  • Coordinate courier packages (in or outgoing) and process incoming and outgoing email, mail and faxes
  • Review incoming referrals
  • Complete monthly expense reports
  • Provide administrative support to the Clinic Director and team
  • Upload job postings to job board
  • Create and distribute company newsletters
  • Oversee health and safety documents and the compliance of all policies and procedures in office

Qualifications

  • High School Diploma or equivalent
  • Previous experience working with health care and / or human services is an asset
  • Strong computer skills including proficiency with Microsoft Office Suite
  • Advanced Microsoft Excel certification is an asset
  • 40-50 WPM- Required
  • Excellent customer service skills and telephone etiquette
