Payroll Specialist
Our client is seeking a detail‑driven Payroll Specialist to manage multi‑company, cross‑border payroll activities for Canadian and US employees. Accuracy, deadline consistency, and comfort working with raw operational data are essential to success in this position.
Your success will be defined by your ability to:
- Process bi‑weekly or semi‑monthly Canadian payroll (approx. 80 employees) through ADP Workforce Now, including hours, overtime, reimbursements, deductions, benefits changes, and statutory holiday pay.
- Prepare and submit ROEs, T4s, and all CRA payroll remittances on schedule.
- Reconcile payroll registers to GL entries prepared by the Senior Accountant and proactively resolve discrepancies.
- Manage new hire setup, terminations, and mid‑cycle payroll changes.
- Coordinate weekly US payroll by preparing and submitting required data to the PEO in Midland, Texas, by established deadlines.
- Extract, translate, and validate field hours, job codes, and cost‑allocation details from FieldCap into PEO‑submission templates.
- Review PEO pay registers for accuracy prior to funding release and manage ongoing communication with the PEO account manager.
- Understand how US payroll flows to the GL and coordinate with the Senior Accountant on accurate journal entries.
- Pull, reconcile, and validate FieldCap data each payroll cycle, identifying and resolving discrepancies with the Midland admin team.
- Build and maintain Excel templates to normalize FieldCap data into payroll‑ready formats.
- Prepare monthly payroll summaries for leadership including headcount, gross payroll, benefits costs, and budget variances.
- Support year‑end processes for both Canadian (T4s) and US (W‑2s, via PEO) employees.
- Maintain payroll records compliant with Canadian and US requirements and identify any payroll‑related compliance risks.
Your strengths include:
- 4+ years of full‑cycle payroll processing experience — capable of running payroll independently from inputs through submission.
- Proficiency in ADP Workforce Now from day one.
- Strong Excel skills, including manipulating raw data exports and building structured reporting templates.
- Ability to clean, validate, and organize large volumes of operational data from field systems.
- A deadline‑driven mindset with the ability to prioritize in a high‑accuracy environment.
- Experience with a US PEO payroll environment (strong asset).
- Oilfield, field services, or construction payroll experience including job‑coded hours and crew‑based workflows (asset).
- Familiarity with FieldCap or similar field ticketing/time‑capture platforms (asset).
- Multi‑province Canadian payroll experience — Alberta required; BC or Saskatchewan an asset.
- Experience coordinating payroll across multiple legal entities simultaneously.
