Description

The Contracts Analyst is a key member of the Michels Canada team and plays an integral support role in the contracting for energy and infrastructure projects. This position must be able to manage multiple priorities at one time while working within tight deadlines. Flexibility and attention to detail are important for success as are teamwork, collaboration and competency in written and verbal communication.

Responsibilities

• Maintain and promote a strong safety culture for all employees, vendors, and customers and follow all safety policies, procedures and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
• Understand and adhere to established policies, standards and procedures.
• Under the guidance of the Contracts Manager, work on problems requiring a thorough analysis of inputs and data.
• Collaborate with project teams on establishing and maintaining subcontracting plans for each assigned project, ensuring project requirements and timelines are met.
• Engage with new and potential suppliers, including administering the new supplier general prequalification and diversity questionnaire, ensuring that new supplier information is updated in SharePoint.
• Coordinate subcontractor general and project specific prequalification, including weighted evaluations, SharePoint updates and ISN subcontractor connection and variance requests, reporting on qualification results, and collaboration with various departments on oversight and approval procedures.
• Maintain detailed records of all transactions in accordance with established tracking and filing procedures.
• Under the guidance of the Contracts Manager, manage subcontract formation from implementation to close-out for a variety of agreements including master agreements, subcontracts and professional services. Collaborate with technical legal and risk teams, ensuring compliance with established procedures.
• Participate in the clarification and negotiation process. Ensure all correspondence, inputs and data is tracked and filed in accordance with established procedures.
• Work with project teams and accounting to ensure effective administration of subcontracts, including change orders, invoicing, retention and release of holdbacks, close out, etc.
• Work with the project team to ensure procedures for retention and release of statutory holdbacks are followed in accordance with procedures.
• Support the establishment and maintenance of preferred subcontractor and professional services master agreements.
• Maintain subcontract tracking logs including file numbers, agreement expiry dates, qualification status, supplier feedback status, diversity status, project start and end dates, insurance expiry dates, etc.
• Prepare agreement award summaries for senior management, noting any deviations from standard terms and conditions with justification for the variance.
• Collaborate with Insurance / Risk on insurance and risk reviews.
• Undertake assigned projects relating to the Contracting function.
