What You Will Do

  • Assist Construction Managers and Project Managers with coordination, documentation, and ordering of equipment for install base projects, including general office duties related to fire alarm, suppression, and sprinkler systems.
  • How You Will Do It

  • Support operations by uploading and maintaining projects and contracts via Job Design / BBI.
  • Monitor the status of small projects (fire alarm, suppression, sprinkler).
  • Communicate with customers and sales reps regarding material and labor requirements.
  • Ensure engineering work meets customer expectations.
  • Coordinate with TIS supervisor and / or construction manager on customer’s labor needs.
  • Order equipment and ensure timely delivery to customers.
  • Report project status to department managers.
  • Process change orders, release equipment, file documents, and manage warranties.
  • Handle project billing, including compiling backup documentation such as payroll and work tickets.
  • Manage customer and contract disputes as needed.
  • Coordinate delivery of equipment and close-out documents.
  • Create purchase orders for subcontractors.
  • Procure and verify project schedules.
  • Attend work-in-progress meetings.
  • Track RFIs, change orders, and relevant documentation.
  • Coordinate with the Sales Team on project bookings and job releases.
  • Assist with Accounts Receivable processes.
  • Act as a point of contact for information sharing between OTC, District, and customers.
  • Support dispute resolution efforts.
  • Contact customers as necessary for DMS and simple inquiries.
  • Handle accounts payable and new vendor setup.
  • Manage time entry and payroll for field crews and project managers.
  • Perform cost transfers.
  • What We Look For - Required

  • Proficiency in Microsoft Windows, Word, Excel, PowerPoint.
  • Knowledge of ACE, OAsys, and Job Cost Systems.
  • Valid driver’s license with a good driving record.
  • High School diploma or equivalent.
  • Ability to multitask and prioritize with strict adherence to deadlines.
  • Excellent verbal and written communication skills.
  • Organized, detail-oriented, and self-motivated.
  • Ability to pass pre-employment background check and drug screening.
  • Positive attitude, punctuality, and accountability.
  • Experience dealing with customers.
  • Preferred

  • Associate’s Degree preferred.
  • 3 to 5 years of related experience.
  • Experience in high-volume, customer service-oriented roles.
  • Electrical or construction industry experience is helpful.
