Job description

Job Summary

The UBC Faculty of Education is advancing its priorities in SOGI (Sexual Orientation and Gender Identity) and 2SLGBTQIA+ youth flourishing through year-round programming and pathways across diverse learning environments. This priority reflects the Faculty's mission to create supportive, inclusive, and educational offerings for 2SLGBTQIA+ youth, building on its long-standing commitment in this area. The Faculty has already made significant strides in this area, including supporting CampOUT!, a leadership summer camp for 2SLGBTQIA+ youth from across BC & the Yukon.

We are seeking a dedicated SOGI Education Community Programs Manager to develop and manage community programs that expand on these efforts. In addition to CampOUT!, we are envisioning offering new camp experiences including CampUs (an on-campus experience for 2SLGBTQIA+ youth) and CampROOTS (an experience specifically for Indigenous 2SLGBTQIA+ youth). A key expectation for this position is to assess community needs, update the existing programming for CampOUT! and create/develop new community programming for CampUS and CampROOTS. The SOGI Education Community Programs Manager will also be responsible for managing camp implementation, including operational planning, logistics, staffing, budget, fundraising, communications, community outreach, and program evaluation.

Organizational Status

The SOGI Education Community Programs Manager reports to the Associate Dean, Equity, and manages a team of seasonal and hourly staff that may include administrative support, camp coordinators, camp leaders, WorkLearn students, and volunteers. This position interacts with the Dean’s Office (including Human Resources and the Finance Office), the Development and Alumni Relations (DAE) team, the Quartermain Centre for SOGI-Inclusive Excellence in Education, and faculty, staff, students and community partners in the Faculty of Education and UBC more broadly.

This position works primarily at the UBC Vancouver Campus but is expected to travel to community and camp locations off campus. Due to the nature of the position, this role may be required to work in the evenings and on weekends during periods when programs are being offered and as operationally required (for community activities and fundraising events, for instance). Time in lieu will be provided. Relatedly, due to the nature of the work, vacations may be limited during certain times of the year.

Work Performed

Program Development and Administration:

  • Develop new community programming, including new camp experiences that have been envisioned as CampUs, and CampROOTS, and update the existing programming for CampOUT! in response to the community needs, ensuring they align with the Faculty of Education’s mission of advancing inclusive educational environments in support of 2SLGBTQIA+ youth.

  • Plan, implement, and evaluate the community programs and services, in collaboration with faculty, staff and community partners.

  • Conduct community surveys to understand the needs to improve and evaluate program effectiveness.

  • Manage an annual budget for community and camp programs. Authorize expenses and ensure accountability for all revenues and expenditures.

  • Prepare a separate budget for each community program for approval. Plan and implement cost-saving measures without compromising program quality.

  • Develop, implement, and evaluate administrative policies, procedures, and practices for the efficient operation and administration of programs and initiatives.

  • Carry-out full-cycle recruitment and management for short-term or seasonal staff, camp coordinators and camp leaders, fostering a collaborative and inclusive team culture that promotes diversity, equity, and inclusion. Liaise with the Dean’s Office HR team on the hiring in Workday.

  • Develop staff training initiatives to ensure effective delivery of the community programs and activities.

  • Manage and improve program applications and registration processes to remove barriers and encourage participation.

  • Manage contracts with third-party providers and on-campus units who support program operations (Camp sites such as Camp Fircom, UBC Student Housing & Community Services, Water Transportation, Social Workers, etc.).

  • In consultation with UBC Safety and Risks Services, develop and implement safety policies and procedures to be adopted for the camps and community programs to ensure the safety and well-being of everyone involved, including staff, students, campers, camp coordinators, camp leaders and contractors.

  • Review and evaluate safety policies on a regular basis to ensure effectiveness and alignment with university policies and practices.

  • Prepare program reports using data and evidence to inform decision-making and program improvements.

  • Stay up to date on policy developments related to SOGI-inclusive education.

Communication, Community Engagement, and Fundraising:

  • In collaboration with the Assistant Dean, Development & Alumni Engagement (DAE) and the Associate Dean, Equity, identify and cultivate prospective donors, as well as develop fundraising proposals and pitch plans that secure funding for the community programs and initiatives overseen by this role.

  • Responsible for the communication and promotion of the community programs under the purview of this role.

  • In collaboration with the Dean’s Office Marketing & Communications team, create and disseminate promotional materials (including new program information, volunteer opportunities, successful stories, milestone achievements, etc.) to the communities and donors.

  • Develop and maintain relationships with community partners, including schools, organizations, and advocacy groups focused on SOGI priorities.

  • Identify and pursue opportunities for collaboration and partnerships in the community that advance program priorities

  • Plan and participate in fund-raising events to support the community programs this role oversees.

  • Represent the UBC Faculty of Education at community activities and events relevant to the programs under the purview of this role.

  • Lead community advisories and related committees that support the programs and initiatives related to this role.

Consequence of Error/Judgement
Decisions made create legal and financial liabilities for the UBC Faculty of Education and UBC. The performance of the SOGI Education Community Programs Manager has a significant impact on the success of these initiatives. Poor performance or errors in judgment would diminish the program’s ability to fulfill its mission and result in reputational damage to the UBC Faculty of Education in the community. Effective management of the budget and camp operations is critical to ensure the financial health and sustainability of the community programs under the role’s purview. Safety and security of everyone involved in these community programs is a key responsibility of this position.
