Position Overview
The Portfolio Operations Coordinator plays a vital role in supporting the day-to-day operations of KAIN Capital’s diverse portfolio. Acting as a core support function to the Directors of Private Equity Investments, this role ensures essential operational tasks are executed seamlessly allowing leadership to focus on strategy and long-term growth.
This position is ideal for a self-starter who thrives in a multi-industry environment and can confidently shift between priorities across property management, logistics, technology, industrial automation, and investment operations.
Key Responsibilities
Cross-Portfolio Operational Support
- Provide day-to-day operational and administrative support across KAIN Group companies
- Coordinate between business units to ensure smooth communication and workflows
- Assist with reports, presentations, documentation, and leadership updates
- Track operational metrics, deadlines, and deliverables across concurrent projects
Administrative & Process Management
Manage calendars, scheduling, and meeting coordination for DirectorsPrepare agendas, capture meeting notes, and track action itemsMaintain organized documentation for contracts, records, and proceduresHandle correspondence with professionalism and discretionSupport SOP creation and ongoing process improvementsCoordinate travel and logistics as requiredMaintain accurate records within the BrightHR systemProperty Management Support
Assist with tenant communications, lease documentation, and onboardingSupport maintenance coordination, vendor tracking, and inspectionsAssist with occupancy reporting, expense tracking, and renewalsLogistics & 3PL Operations Support
Support client communications, quotes, contracts, and onboardingManage CRM systems for lead tracking, follow-ups, and data accuracyAssist with marketing coordination, reporting, and analyticsTechnology & Software Operations
Support project coordination, timelines, and documentationMaintain accuracy within project management toolsCoordinate routine communications between technical teams and clientsAssist with research, market analysis, and competitive insightsIndustrial Automation Support

Education & Experience
Undergraduate degree (Business or related field preferred)1–3 years of experience in operations, administration, or project coordinationExperience supporting leadership or working across multiple business units is an assetCore Competencies
