Responsibilities :
This role entails proactively managing a busy lawyer’s practice, in collaboration with Legal Assistant, which includes :
Keeping track of deadlines and anticipating needs to efficiently manage lawyer’s prioritiesMaintaining lawyer’s calendars and scheduling appointmentsCoordinating internal and external meetings, including making reservations, arranging catering / technology, and putting together meeting materials and presentationsMaking travel arrangements and preparing itinerariesCoordinating with firm business support teams (e.g. Marketing, IT, Finance) as neededMaintaining physical and electronic client filesMonitoring inbox, and analyzing, responding to, and acting on emails as appropriateReviewing, rerouting, processing, preparing, editing, formatting, printing, scanning, and revising mail and correspondenceProofreading documentsReceive, screen, direct, and handle incoming callsProcessing expenses and bills within monthly deadlinesCoordinating logistics for conferences, events, and business development activitiesLiaising with team members as neededRequirements :
A minimum of 5 years of experience working as an Executive Assistant within a Canadian law firm or similar professional environment is required. A background in litigation practice (in addition to EA experience) is considered a definitive assetStrong attention to detail and superior word processing, spelling, proofreading, and editing skillsExcellent organization and time management skillsProven ability to effectively support and manage high-volume practicesSuperb communication skills and highly professionally demeanourOutstanding ability to exercise good judgement, manage competing priorities, and thrive in a fast-paced environmentFor more information or to be considered for this opportunity, please apply today or contact your Hunter West consultant.
