Reporting to the Director Business Operations, this position requires a strongly motivated and organized individual to provide advanced secretarial support and diversified administrative duties for 70+ faculty members, sessionals, associate deans, and others as assigned. This position is part of an administrative support team where workflow is assigned based on operational needs, such as committees, recruitment searches, research and financial assistance. Team project work will include support for accreditation, special events, Brightspace and learning management systems, and faculty activity and program databases.
A minimum of three years advanced secretarial experience, preferably in a team environment
- Knowledge of University policy and the environment preferred
- Post-secondary education would be an asset, as would experience in a professional school or business environment
Knowledge, Skills, Abilities
- Exceptional customer service, organizational and advanced secretarial skills
- Able to prioritize responsibilities with a multi-faceted workload
- Produce accurate results requiring minimal review and correction, demonstrating exceptional attention to detail
- Work well independently and as a member of a team, demonstrating an ability to interact effectively and professionally with students, faculty, staff and members of the public
- Communicate articulately, accurately and professionally in person, in written format and over the phone
- Able to exercise initiative, independent judgment, tact and a high degree of diplomacy and cultural sensitivity
- Able to produce accurate results and work effectively under pressure with minimal supervision
Specialized Knowledge/Education
- Exemplary expertise and software skills with MS Office, Teams, FAST, Banner (student & financial), FMIS, Sharepoint, Brightspaces, Zoom, electronic file management and in-depth database experience
- Multinational awareness and sensitivity
- This position may be assigned work in accordance with operational requirements
