Role Summary
Based in Edmonton, reporting to the VP of Operations, the Proposal Manager will be responsible for leading and managing the proposal process, focusing on scheduling tender reviews and coordinating closing dates.
This role ensures that high-quality proposals are developed and submitted on time, meeting all customer requirements. The Proposal Manager will collaborate closely with internal teams, including business development and project management, to ensure proposals align with company goals, particularly for Class A customers.
Responsibilities
Proposal Leadership :
- Manage the entire proposal development process, from receipt of an RFP to submission, ensuring all submissions are aligned with customer requirements.
- Lead the coordination of internal resources to prepare comprehensive and competitive proposals.
- Set and maintain timelines for tender reviews and submission deadlines, ensuring all internal stakeholders adhere to schedules.
Tender Review Scheduling :
- Organize and schedule all tender reviews with the appropriate internal teams, ensuring that deadlines are communicated and met.
- Manage closing dates for all proposals, ensuring submissions are timely and in compliance with customer requirements.
Customer Engagement :
- Serve as the point of contact for Class A customers during the proposal phase, ensuring clear communication and addressing any queries or concerns.
- Work with business development teams to ensure client needs are understood and proposals are tailored to meet those expectations.
Proposal Documentation and Review :
- Prepare and coordinate all proposal documentation, ensuring all necessary details, including technical and financial aspects, are accurate and complete.
- Oversee internal review processes, ensuring that proposals are strategically aligned, accurate, and competitive before submission.
Process Improvement :
- Continuously improve proposal processes, ensuring efficient handling of schedules and submission timelines.
- Track proposal outcomes and customer feedback to refine future proposals and enhance overall success rates.
- Provide additional project admin support (as required), and
- Additional and alternative duties that may be changed from time-to-time by the Employer.
Qualifications
- A bachelor’s degree in business, engineering, construction management, or a related field would be an asset but is not required.
- 5+ years of experience in proposal management or project management within the construction or industrial services industry.
- Experience managing tender reviews and proposal submission timelines.
- Salesforce experience would be a benefit, but it is not required.
Skills and Competencies
- Strong organizational and project management skills, with the ability to manage multiple proposals simultaneously.
- Excellent communication and customer engagement skills.
- Proficiency in Microsoft Office and proposal management software.
- Strong written communication skills to ensure professional and accurate proposal content.
- Attention to detail and ability to manage tight deadlines effectively.
