Position summary
The Program Associate supports the smooth functioning of the Foundation’s funding processes. They keep funding timelines on track by organizing data and timelines and play a key liaison role between the Programs Team and other Foundation teams (Operations, Communications, Presidents’ Office).
They also manage correspondence with funding applicants during their application period. All of this helps ensure that the Foundation’s funding processes are optimized so applicants are supported, and the Program Team functions efficiently and effectively.

Core responsibilities
Funding Management
Maintains funding management tracking tools, ensures systems are up to date and makes suggestions for improvement
Ensures prompt and effective analysis of proposals, including following up with Program Team members on files they lead to avoid delays
Liaises with the Operations Department and collaborates closely with Funding Team to ensure the funding management database (Fluxx) is up to date
Coordinates payments
Communicates with applicants and offers support to partners from inquiry to submission to reporting
Supports preparation of acceptance and declination letters and other correspondence with partners
Makes suggestions and contributes to improvements in funding management processes
Operations
Supports development and dissemination of internal and external communications related to our granting
Attends all regular Operations team meetings and facilitates cross-departmental collaboration
Participates in and contributes to operational change initiatives that impact the Program Team and / or our partner experience
Reporting to Senior Leadership
Coordinates the preparation and submission of materials from the Programs team to the CEO and Chief Program Officer on a weekly basis, and for quarterly Board meetings

Position requirements
2+ years of relevant work experience
Experience with online databases (Fluxx is an asset)
Excellent interpersonal skills
Exceptional organizational skills : ability to manage, plan, and prioritize multiple tasks across various timelines
Excellent attention to detail, while adhering to deadlines
Functional bilingualism with excellent oral and written skills in either English or French
