Will Call / Claims Receiving Specialist

Full-time | Logistics | Location – Port Coquitlam, BC

The Claims Receiving Specialist is a key contributor to the company’s claims and reverse logistics operations. This role is responsible for the accurate and timely receipt, inspection, and initial processing of returned parts and claimed materials. Acting as an essential point of contact, the specialist coordinates and responds to inquiries from internal teams, external customers, and transportation carriers regarding returned items. The position requires strong administrative and organizational skills, along with the ability to perform hands-on warehouse duties, including the safe operation of heavy equipment.

YOUR ROLE AND RESPONSIBILITIES

You’ll deliver short and long term projects that support the business strategy. This will involve:

• Receive, unload, and verify returned parts and warranty claim shipments from carriers.

• Match incoming items to RMAs or claim documentation and accurately record receipts in inventory and claims systems.

• Perform initial visual inspections to confirm identification, condition, and potential transit damage.

• Stage, label, and organize returned materials in designated receiving or quarantine areas to ensure traceability.

• Serve as a primary point of contact for customers and carriers regarding return status, deliveries, and counter service.

• Coordinate with internal teams (Quality, Claims, Inventory) to report discrepancies, damaged items, or priority returns.

• Assist with resolving documentation and receipt discrepancies, escalating issues as needed.

• Operate forklifts and material-handling equipment safely to move and position returned goods.

• Maintain a clean, organized, and safe receiving area in compliance with company safety policies.

HOW TO SUCCEED / YOUR PROFILE

We’re looking for someone who can come up with simple solutions to complex problems. To join us you need:

• Minimum of 2 years of experience in a warehouse, receiving, logistics, or inventory control environment is preferred.

• Forklift Certification: Current and valid Forklift Operator Certification is required.

• Computer Skills: Proficiency with basic office software (Microsoft Office Suite) and experience using Warehouse Management Systems (WMS) or claims processing software.

• Communication: Excellent verbal and written communication skills with the ability to interact professionally with internal staff and external customers.

• Attention to Detail: Meticulous approach to documentation and verifying claims paperwork against physical returns.

Physical Requirements and Work Environment

• Standing/Walking: Must be able to stand and walk consistently throughout an 8-hour shift.

• Lifting: Ability to regularly lift, push, or pull up to 50 pounds without assistance.

• Mobility: Requires frequent bending, stooping, reaching, and climbing stairs or ladders as needed.

• Environment: Position is based in a warehouse/receiving dock environment and may be subject to moderate noise levels and fluctuations in temperature.

• Equipment: Must be comfortable and capable of safely operating material handling equipment (e.g., forklift, pallet jack).

• This position involves close coordination with the logistics team, with approximately 50% of the workday dedicated to order picking, packing, and shipping activities.
