Thompson Construction Group has an immediate opening for an Estimating Coordinator at our Spruce Grove office.
This role supports the estimating team by coordinating proposal and tender submissions, managing documentation, and ensuring submission requirements and deadlines are met.
Responsibilities:
- Coordinate the proposal and tender development process across multiple disciplines
- Act as a point of contact for client communications related to RFQs, RFPs, addenda, RFIs, and submission requirements
- Distribute RFQ and RFP information and responses to all internal parties involved
- Track proposal schedules, deadlines, and deliverables to ensure timely submission
- Provide technical writing and document review support for proposal submissions
- Obtain bonding, insurance, safety, quality, and financial information required for estimating submissions
- Gather required approvals and signatures for tenders and contracts
- Review submission documents to ensure accuracy, completeness, and compliance with requirements
- Manage estimating document control, including client portals, file structures, and password access
- Maintain proposal support materials including resumes, project profiles, presentations, and specifications
- Maintain QA/QC manuals and organizational charts
- Provide follow-up on outstanding deliverables to ensure submission timelines are met
Qualifications:
- Minimum 5–10 years of related experience
- Degree or diploma in Administration, Communications, or a related field, or equivalent industry experience
- Proficient in Microsoft Word and Excel
- Adobe Creative Suite experience is considered an asset
- Strong organizational, analytical, communication, and technical writing skills
- Experience supporting proposal and estimating processes
- Ability to manage multiple priorities and work under pressure
