Position Summary

Under general supervision of the Records Manager, this position plans, coordinates and provides records & information management daily support in the development, implementation, and on-going maintenance of corporate information. The records Coordinator must be responsible, accurate, proficient in the duties assigned, maintain a high degree of independent judgement and personal initiative. At this level, the person understands more than the basic techniques and technologies, has managed, or developed Records Management projects, and has knowledge of Records Management lifecycle concepts. In addition, the practitioner may be developing specialty skills (e.g., analysis, auditing, warehousing, and application technologies) and may also have experience supervising other staff.

  • What you’ll do

    Supervision and Leadership :

  • Provide overall supervision to the Records program, including supervision of :
  • work planning, scheduling, and assessment of staffing needs.

    promoting shared team goals and collaboration among members

  • Prepare and assist in the preparation of reports and recommendations for the Manager and stakeholders.
  • Make presentations and provide advice / guidance on the Records Program.
  • Initiate actions required by the Manager and coordinate and monitor assigned tasks emerging from meetings as directed by the Manager.
  • Primary Responsibilities

  • Help develop Records Management system specifications by using best practices, assessing business needs, and clearly documenting requirements.
  • Lead, direct and assign Records Management staff daily work activities.
  • Help design information management systems by translating information processes into functional requirements.
  • Support and assist others in the use of technology to accomplish tasks that support Records Management program objectives.
  • Review, discuss with Manager and update Records Management Policy and Procedures Manual and Records Retention Schedule.
  • Maintains strictest confidentiality.

  • What you bring

    Education

  • Records / Information Management certification, CRM designation or a related accredited discipline.
  • ARMA (Association of Records Managers and Administrators) membership would be a definite asset.
  • Skills / Experience

  • Minimum five years of records and information management experience, and Minimum five years’ experience administering Records and Information Management-related projects.
  • Extensive experience and knowledge of records and information management principles, practices, and methodologies.
  • Must be proactive and well-organized, with the ability to prioritize and meet deadlines.
  • Strong initiative and leadership qualities.
  • Attention to detail, prioritize and complete tasks in a timely manner with minimal supervision, solid problem solving, and advanced analytical skills.
  • Must be able to perform physical tasks such as standing for long periods of time and lifting boxes up to 40lbs.
  • Ability to work independently and work well with others as part of a team.
  • Requirements

  • Proficient computer skills with the Microsoft Office 365 Suite (Outlook, Word, Excel, PowerPoint, Teams.)
  • Proficient interpersonal and communication (written and verbal) skills.
  • Ability to agree as well as adhere to Seabird Island Band Human Resources (HR), Finance, and Information Technology (IT) Policies and Procedures, etc.
  • Knowledge, respect and understanding of Stó : lō culture, traditions and language or willingness to learn.
  • Experience working with First Nations community is considered an asset.
  • Valid BC Driver’s License with a clean Driver’s Abstract within the last 5 years.
  • Satisfactory Criminal Record Check
  • Reports to : Records Manager
