PROGRAM ADMINISTRATOR

FACULTY OF ARTS AND SCIENCES

NorQuesters are difference makers and we’re searching for someone who can find ways forward with our Faculty of Arts and Sciences. Reporting to the Manager, Business Operations, the Faculty Program Administrator provides administrative support to the Faculty (Instructors, Chairs, and Associate Chairs) within the Department to ensure the efficient operation of the programs. The Faculty Program Administrator is a point of contact for learners, other faculties, and college services.

HOW YOU'LL MAKE A DIFFERENCE

  • Connect with students at relevant points of the term timeline for enrolment, waitlist, and withdrawal management.
  • Support student requests for certificates, letters, and general course information.
  • Provide general administration for the area programs such as expenses, supply budget management, timetabling, records management, event coordination, and evaluations.
  • Support Program Advisory Committee meetings through sharing agendas, sending out invites, and follow-up communications.
  • Code invoices, arrange for signatures, submit to finance for payment, and maintain files as per guidelines.
  • Order and maintain classroom and program office supplies, education supplies, books, and or equipment that support the programs.
  • Word process program material, correspondence, reports, and compose routine letters.
  • Create and maintain surveys and evaluations.
  • Support program and course evaluations.
  • Develop and document annual administrative processes relating to their roles.
  • Provide context and information on college systems and the administrative process to the Business Operations group and the program leadership.
  • Report to Enrolment any updates to student program plan.
  • Liaise with Timetabling for schedule changes.
  • Attach instructors to relevant sections.
  • Lodge expense claims in PeopleSoft Finance for Program Chairs, Associate Chairs, Instructors, and other staff as required.
  • Book classrooms, computer labs, and resources throughout the term.
  • Run reports and queries as required.
  • Gradebook set up / modification / troubleshooting for instructors.
  • Grade changes as requested by the Chair.
  • Upload legal documents to the student record.

WHAT YOU BRING

  • Post-secondary diploma in a related field including office or business administration.
  • 3+ years’ experience in a similar role.
  • Advanced ability in MS Office products Word, Excel and Outlook. MS Teams, OneDrive, and BI are an asset.

  • Demonstrate strong technical skills and ability to adopt new processes

  • Well-developed organizational skills; clear, calm communication and exceptional interpersonal skills are required.
  • Familiarity with PeopleSoft an asset
  • Experience working with multicultural clients and / or knowledge of another language an asset
  • SALARY : $44,648 - $59,193 Reflective upon what you bring AKA your education and experience. This is a full-time term position to June 30, 2024 with immediate access to our great health benefits program.
