Document Control Specialist
Job Description
The Document Control Specialist is responsible for all Document Control activities on a Project, from start to finish, and on large project will act as Team Leader for the whole Project DocControl team.
The Document Control Specialist initiates DocControl requirements during project startup and ensures proper deployment of all DocControl tools and processes.
The Document Control Specialist manages the tools, integrates users, reports DocControl performance and also takes part in daily requests.
In the project organization, the Document Control Specialist reports to Project Control Lead and reports all DocControl metrics and risks to Project.
The Document Control Specialist can also have to assume responsibilities of DocControl Coordinator and DocControl Technician when required depending on workload and complexity of project.
Responsibilities :
- Ensure all DocControl operations run smoothly for a Project, from start to finish
- Initiate DocControl requirements for a Project during startup : establish all specifications and processes, deploy tools and infrastructure, etc.
- Administer and manage EDMS settings and permissions (electronic document vault)
- Prepare and maintain master document registry (MDR) and distribution lists
- Respond to Project demands, publish reports and solves problems
- Lead DocControl team for project and support coordination of daily requests
- Perform daily DocControl requests such as : preparing external mandate, log and distribute documents, perform client turnovers, etc.
- Enforce proper workflows, procedures, distribution lists and quality assurance standards and maintain data integrity and quality of attributes
- Train and assist project team, engineering team, external suppliers, partners and clients while using our document management systems
- Support project team with other tasks as required (lists, printing, formatting, etc.)
Qualifications
- Minimum of 5 years’ experience in a related field, or an equivalent combination of education and experience
- Experience in working on large engineering, procurement or construction projects, preferably in the Oil & Gas Industrial environment to understand sending / receiving drawings, expediting transmittals and flexibility in working with different platforms
- Working knowledge in the deployment and use of Bentley ProjectWise and Hexagon SDx or equivalent Documentation Vault (i.
e. Aconex, Assai, Open Text, etc.)
Strong computer skills with a high proficiency with Excel. Ability to handle large lists, run V-Lookup, Pivot Tables, charts and macros.
Proficient with Microsoft Office
Outlook, Word, Excel, Power Point, Visio and Power BI)
- Ability to prepare data and produce graphical reports
- Bilingual (French & English) with strong communication skills, both written and verbal
- Meticulous, attentive to detail, strong organizational skills, priority management
- Strong leadership, initiative and problem-solving skills
