Position Description:
We are hiring a Functional Lead to support a large-scale enterprise transformation program delivering a modern, AI-enabled Knowledge Management (KM) solution.
In this role, you will be responsible for shaping and maintaining a clear, consistent understanding of how the KM solution is expected to behave from a user and business perspective. You will work across early discovery activities and ongoing Agile delivery to translate business needs into well-formed user stories, support delivery teams with clarity on expected outcomes, and ensure that the solution works coherently across features, integrations, and data sources.
A key focus of this role is ensuring that migrated content and data support the intended KM capabilities and that AI-enabled features behave in ways that are meaningful, predictable, and aligned with user needs in a regulated environment.
Security Clearance: reliability granted or eligible for reliability clearance (5+ years residing in Canada) is a must for this role.
Your future duties and responsibilities:
User Stories & Backlog Support
- Work with business stakeholders and subject matter experts to clarify expected solution behaviors and success criteria.
- Support the creation and refinement of user stories and acceptance criteria that clearly describe expected system behavior.
- Ensure user stories are consistent, testable, and aligned to the overall KM user experience.
- Work with Product Owners to support backlog readiness and clarify questions as stories move toward delivery.
- Translate behaviors from legacy systems (including CRM Dynamics, SQL-backed applications, HTML web applications, and SharePoint-integrated systems) into clear user stories and acceptance criteria for the target KM solution.
Cross-Team Alignment & Delivery Support
- Maintain consistency in how solution behaviors are interpreted and implemented across multiple Agile delivery pods, including providing guidance on functional impacts arising from migration constraints or data transformation decisions
- Act as a point of reference for delivery teams during build and test activities when questions arise about intended outcomes.
- Identify and resolve gaps, overlaps, or inconsistencies across delivered features.
- Support reviews of completed work to confirm alignment with expected behaviors.
Data Migration & Content Readiness
- Contribute to analysis of existing content and data to support migration planning and prioritization.
- Analyze legacy application workflows and data usage patterns (including CRM, SQL, HTML, and SharePoint-integrated applications) to ensure business intent is preserved during migration.
- Work with data, information architecture, and migration teams to ensure migrated content supports intended KM use cases.
- Validate that content structure, metadata, and classification enable effective search, navigation, and reuse.
- Identify risks related to data completeness, structure, or quality that may affect KM outcomes.
AI-Enabled Feature Support
- Support definition and validation of expected behaviors for AI-enabled features such as intelligent search, recommendations, summarization, and assisted knowledge discovery.
- Ensure AI-assisted capabilities are grounded in clear user scenarios and observable outcomes.
- Collaborate with data and information architecture teams to confirm that solution behavior aligns with data availability and constraints.
Required qualifications to be successful in this role:
Required
- 7+ years of relevant experience in roles such as business analysis, solution analysis, functional design, or product-focused analysis on enterprise platforms.
- Strong Technical Business Analyst capability, including experience producing detailed migration-related requirements, mapping validations, and acceptance documentation.
- Experience analyzing legacy systems and translating business workflows from CRM Dynamics, SQL-backed applications, HTML web applications, and/or SharePoint-integrated systems into target-state solution behaviors.
- Experience working in Agile environments using user stories and acceptance criteria.
- Experience supporting information-centric or knowledge-intensive systems.
- Ability to work effectively across business stakeholders, Product Owners, and technical teams.
- Experience working in regulated, public-sector, or large enterprise environments.
- Strong analytical, facilitation, and communication skills.
Preferred
- Experience supporting Knowledge Management or Enterprise Content Management solutions.
- Exposure to AI-enabled or data-driven features from a business or user-experience perspective.
- Experience supporting large-scale transformation or platform implementation initiatives.
- Basic understanding of data migration processes or ETL concepts sufficient to collaborate effectively with technical migration teams.
