Job description

Robert Half is seeking a Workplace Experience Assistant and to play a key role in fostering a welcoming and engaging environment for our client's employees and visitors. As the first point of contact in the workplace, you will support daily operations, ensure top-notch facilities, and help drive company events and culture. This is a temporary opportunity, ideal for individuals passionate about creating an exceptional workplace experience in Vancouver, BC.

Workplace Operations

  • Greet employees and visitors, delivering a professional and friendly reception experience.
  • Maintain organization and cleanliness in meeting rooms, kitchens, and common areas.
  • Monitor and replenish stock of office, kitchen, and first aid supplies.
  • Proactively identify, report, and support resolution of maintenance and repair needs.
  • Coordinate with vendors and oversee repair or maintenance activities on-site.
  • Support onboarding / offboarding by preparing workstations, managing keycards, and allocating / collecting company property.
  • Handle creation and deactivation of keycards, ensuring proper access levels.
  • Assist with ad-hoc facility projects and other related tasks.

Employee Experience

  • Support the planning and execution of engagement initiatives and events—from small themed celebrations to large company-wide gatherings.
  • Serve as a resource for employees on workplace-related questions, escalating concerns as needed.
  • Administrative Support

  • Coordinate food orders, catering for meetings and company events.
  • Assist with meeting room bookings and event preparations.
  • Manage voicemails, mail and package deliveries, and outgoing shipments.
  • Perform additional administrative duties to support the Workplace Experience team as required.
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • 1+ years of experience in a facilities, hospitality, or office administration role (preferably in a medium / large tech or corporate environment).
  • Outstanding interpersonal and communication skills with a strong customer service orientation.
  • Highly organized with exceptional attention to detail and ability to manage multiple tasks.
  • Positive, proactive attitude and collaborative approach to problem-solving.
  • Proficient with Google Suite and workplace management tools (e.g., Slack, Asana).
  • Demonstrated ability to handle sensitive information with professionalism and discretion.
