We are seeking a motivated and detail-oriented Medical Office Assistant to join the team.

Role Summary

As a Medical Office Assistant, you will play a vital role in ensuring our Veteran Assessment clinic's smooth and efficient operation. Your responsibilities will include managing administrative tasks, assisting healthcare professionals, and providing excellent customer service to our patients.

Key Responsibilities :

Call veterans within 24-48 hrs and schedule them in accordingly

Be a welcoming and professional front line person in the Veteran Affairs side of the business answering phone and assisting Nurse Practitioners / RNs

Report to the Veterans Affairs Business Unit Manager

Create profile / chart in EMR for veteran

Auto populate forms with their demographics and the clinics demographics for all forms for each veteran

Confirm appointments the previous day and ensure veterans have all relevant information for the appointment, are aware of all forms needed and aware of location of appointment (multiple locations)

Ensure all completed auto populated forms are in Drop Box under each NP and according to veterans name on the day of appt

Confirm completion of forms

Scan all completed forms to veterans chart then pass along to Business Unit Manager

Qualifications :

Diploma or certificate in Medical Office Administration or a related field.

2 years of experience.

Previous experience in a medical office or healthcare setting is preferred.

Proficient in Microsoft Office Suite and electronic medical records (EMR) systems.

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Ability to work both independently and as part of a team.

High level of professionalism and confidentiality.
