Fuel Transport is seeking a Payroll Specialist for our LaSalle office. The role focuses on accurate payroll processing for all employees in Canada and the United States, ensuring compliance with internal policies and legal requirements.
Responsibilities
- Process payroll for salaried and hourly employees in Canada and the United States.
- Calculate and process salary adjustments, overtime, severance pay, or other special payments in line with company policies and current legislation.
- Issue Records of Employment (ROEs) and respond to Service Canada inquiries.
- Collaborate with internal business units to ensure payroll processing complies with compensation policies and legal requirements.
- Reconcile and process contributions and payments to the 401(k) plan and group RRSP, and manage wage garnishments timely.
- Administer employee benefits for U.S. and Canadian groups, including enrollment, terminations, changes, and invoice reconciliation.
- Provide payroll reports and details to the finance department for accounting purposes.
- Balance year-end payroll, distribute RL1/T4/W2 slips, issue T2200 forms, and audit TD1, payroll summaries, and earnings.
- Support HR with payroll inquiries and related processes to improve efficiency.
- Analyze data and prepare weekly, monthly, quarterly, and year-end payroll reports on earnings, hours, accruals, and withholdings.
- Reconcile and process Ontario WSIB quarterly and CNESST annually.
- Act as the departmental expert for payroll policies, timekeeping, and best practices.
- Perform other related tasks as needed (e.g., answering employee questions and undertaking special projects).
Qualifications and Education
- A DEC in Accounting or a Bachelor’s degree in Finance is an asset.
- Professional certification (Payroll Compliance Practitioner, PCP) is an asset.
- Minimum of 2 years of experience in payroll processing for companies in Canada and the United States.
- Strong knowledge of Canadian and U.S. payroll legislation, employment standards, tax rules, and year-end reporting processes.
- Experience with Ultipro/UKG is highly valued.
- Proficiency in Excel (VLOOKUPs and pivot tables).
- Bilingual in English and French; additional language ability may be required for interactions across North America.
- Understanding of configuring earning and deduction codes in the payroll system is an asset.
- Strong attention to detail, ability to maintain confidentiality, and excellent customer service skills.
- Good organizational skills and ability to prioritize tasks effectively.
