We are looking for an experienced Committee Coordinator to join our team in Vancouver, British Columbia. In this Contract to permanent position, you will provide essential administrative and logistical support to senior leadership, ensuring the smooth operation of governance, committee, hearing, and executive office activities. Your ability to manage multiple priorities, maintain confidentiality, and deliver high-quality results will be key to success in this hybrid role.
Responsibilities :
- Coordinate and schedule meetings, hearings, and arbitrations, ensuring all logistics are well-organized.
- Prepare and distribute committee materials, diligence books, and other relevant documentation.
- Track attendance, manage rosters, and maintain detailed records of invoices and expenses.
- Support complaints and disciplinary procedures with professionalism and attention to detail.
- Assist with calendar management for senior leaders, ensuring schedules are optimized and conflicts are resolved.
- Handle expense reporting and ensure timely processing of invoices.
- Organize travel arrangements, accommodations, and itineraries as needed.
- Maintain confidentiality and ensure compliance with procedural requirements during meetings and hearings.
- Provide photocopying and scanning services to prepare and archive documents efficiently.
- Communicate proactively with internal and external stakeholders to ensure smooth operations.
- Proven experience in administrative coordination or similar roles, preferably in a detail-oriented environment.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Proficiency in calendar management and scheduling tools.
- Familiarity with expense reporting and invoice processing.
- Excellent attention to detail and accuracy in record-keeping.
- Ability to handle sensitive information with confidentiality and discretion.
- Strong written and verbal communication skills for effective stakeholder interaction.
- Proficiency in standard office software, including document scanning and photocopying tools.
