Position Overview
Under the limited supervision of the Manager, the Admissions Coordinator plays a crucial role in the admissions process at Okanagan College. The position involves verifying student admissibility, maintaining academic records, and consulting with stakeholders to support student admissions. Effective communication with applicants regarding their application status, information requests, and offers of admission is key. The Admissions Coordinator also manages daily admissions activities, provides procedural and technical support, delivers training, and supports quality assurance initiatives.
Key Responsibilities
- Assess official documents and applications to verify students’ admissibility to their chosen program, maintaining a comprehensive knowledge of program requirements, college policies, and important dates.
- Maintain student academic records and application priority lists for Okanagan College programs.
- Consult with Deans, Chairs, Faculty, instructors, and external sources on behalf of students regarding admissions when required.
- Advise, assess, and resolve the needs of prospective, current, and prospective students, including making appropriate referrals.
- Collaborate with Transfer Credit, Registration, Financial Aid and Awards, Graduation, and other departments to ensure applicants and students are set up for success.
- Present a welcoming and engaged presence in person, by telephone, and by email, to all general inquiries.
- Encourage students to explore and realize their education and career options.
- Ensure optimal service to applicants through timely communication, assessment, and efficient processes to encourage acceptance of offers and conversion of applicants to committed students.
- Collaborate with the Manager to develop, implement and coordinate applicant communication campaigns and ensure admissions content on myOkanagan, the website, and other media are timely, accurate, engaging, and effective.
- Liaise with the Systems team regarding email campaigns.
- Respond to inquiries from the public, faculty, instructors, staff, and the Recruitment and Enrolment Management team concerning admission and programs.
- Effectively communicate verbally and in writing with applicants regarding application status, requests for information, offers of admission, and all other inquiries.
- Collaborate with the Manager to develop, maintain, review and apply policies and procedures that support Students First, equity, diversity, inclusion, social justice, reconciliation, SEM, and efficient admissions administration.
- Respond to student concerns, complaints, and suggestions and work collaboratively with colleagues to resolve student issues related to admission and other intersecting policies and procedures, escalating more complex issues to the Manager.
- Provide procedural and technical support and develop and implement admissions resource material and training sessions for staff performing admissions work.
- Resolve administrative problems as escalated by departmental staff; in the absence of the Manager, confer with the Registrar and Associate Registrar to find resolutions.
- Under the limited guidance of the Manager, establish staff break schedules, coverage, ensure coverage for staff vacation, and support staff orientation, onboarding and development.
- Collaborate with the Manager in developing and implementing quality assurance strategies, measures, and assessments; data security; and adherence to data standards & policies.
- Ensure confidentiality of all student records adhering to the rules of the Freedom of Information and Protection of Privacy legislation.
- Maintain working knowledge of Immigration, Refugee and Citizenship Canada regulations.
- Represent Admissions and the Registrar’s Office on internal and external hiring committees.
- Participate in cross-functional teams to support, develop and implement admissions, enrollment and retention strategies that support SEM.
- Provide input and feedback into the development of the Registrar’s Office short- and long-term planning including departmental and strategic initiatives.

Education and Experience
4-year undergraduate degree.Minimum 6 years’ experience; at least 4 years in a post-secondary environment.Experience in a Registrar’s Office is an asset.A combination of education and experience will be considered.Skills and Abilities
Excellent oral and written communication, customer service, multi-tasking, time management, and problem solving skills.Ability to adapt to changing environments and remain flexible and resilient.Team player with honesty, integrity, and aptitude for collaborative work.Strong critical thinking skills essential for performing duties effectively.Technical competence in systems that support admissions, business administration, and information and communication. Knowledge of Ellucian Banner is an advantage.Ability to develop, interpret and operationalize complex policies and processes.Ability to work effectively with minimal supervision, particularly when dealing with students and the public, utilizing strong organizational, interpersonal, and communication skills.Ability to exercise discretion, tact, and sound judgment in complex and sensitive situations.Knowledge of and commitment to advancing Equity, Diversity, Inclusion and Social Justice and Reconciliation efforts within the educational environment.Intercampus travel is required; possession of a valid driver’s license and access to a vehicle is preferred.Preferred Qualifications
