Role

The key overall objective of the Clerical Site Support Administrator is to support Project Staff with administrative duties and document control. Responsibilities On a day-to-day basis, the key responsibilities of the Clerical Site Support Administrator will be to provide direct support to site staff in helping them to fulfill the following functions :

  • Processing purchase order and completion slips.
  • Providing assistance as required to the Site Superintendent(s).
  • Maintaining a daily construction log in conjunction with Site Superintendent(s).
  • Preparing and maintaining various communication / documentation.
  • Obtaining, organizing and updating construction documentation for each lot under construction.
  • Coordination of municipal and utility inspections
  • Ordering and managing site office supplies.
  • Maintaining an inventory of required site material and ordering replacements as needed.
  • Assisting in the coordination of incoming building material shipments.
  • Remaining familiar with WHMIS, WSIB and OHSA responsibilities and duties.
  • Assisting in monthly Health and Safety meetings by distributing the agenda, taking attendance and compiling minutes.
  • Respecting the confidentiality of company information, policies and procedures.
  • Upholding and adhering to company policies including the maintenance of a clean and safe work environment.
  • Assisting with customer site tours and site progress photos.
  • Other work and tasks related to company objectives or as required.

Qualifications.

  • Minimum of two (2) years of construction experience.
  • Clerical experience in a low-rise construction management environment involving large construction projects.
  • Highly organized and able to process large volumes of information.
  • Excellent record keeping and documentation management skills.
  • Proficiency in the use of a personal computer and software applications relevant to the work including, Word, Excel, Outlook, Builder Software Tools (BST), OneDrive, Dropbox and Adobe Acrobat.
  • Detail oriented with sound judgement.
  • Well-developed administrative, analytical organizational and oral / written communication skills.
  • Able to solve problems, multitask and work under pressure within time constraints.
  • Strong interpersonal and customer service skills.
  • Self-motivated, takes initiative and is a team player.
