Job description

DUTIES

TRU CLC’s mandate is to provide legal services to low-income clients while concurrently offering practical learning opportunities for students from the TRU Faculty of Law. This work includes case files, community outreach and public legal education.

The Office Manager reports to the Executive Director and is energetic and organized, with excellent interpersonal skills. The position is responsible for the efficient operation of administrative matters at the Clinic.

The starting salary for this position is $49,000. That salary will be reduced if the successful candidate selects a benefit package and RRSP matching option. The Office Manager is entitled to 30 vacation days a year.

TRU CLC is operated by the TRU Legal Clinic Society, an independent non-profit society. As such the employees of TRU CLC are not employees of TRU.

MAJOR RESPONSIBILITIES

This position is responsible for ensuring efficient operation of all day-to-day administrative matters at the Clinic, including :

  • providing administrative assistance to the Executive Director and supervising lawyers as needed;
  • screening phone calls, making a preliminary determination of eligibility of clients, and booking appointments for initial intake interviews;
  • maintaining TRU CLC’s online file management system;
  • general file management (opening, closing, storing, destruction);
  • handling correspondence;
  • identifying and recommending changes to Clinic policies or procedures as required to maximize office efficiencies and effectiveness;
  • providing ongoing support and direction to students on administrative and office practices and procedures; and
  • working with the Executive Director to monitor the Clinic’s finances, including ordering office supplies.

QUALIFICATIONS

REQUIRED KNOWLEDGE / SKILLS

This position requires an individual with a knowledge of the Canadian legal system. The ideal candidate will have :

  • a post-secondary degree or diploma; a qualification as a paralegal or legal assistant is preferred;
  • experience assisting in various litigation matters;
  • a high level of proficiency with various Microsoft Office programs including Outlook, Word, and Excel;
  • competent professional writing and oral communication skills;
  • a proven ability to balance multiple and competing priorities and to work as part of a team;
  • a demonstrated ability in serving low-income clients and persons with disabilities in a respectful and sensitive manner;
  • diplomacy and discretion when dealing with sensitive and confidential matters; and
  • experience with budgeting / financial management.
