Job Overview:
The Accounts Receivable Associate - Receptionist provides coverage at the reception desk during vacation periods and peak business times. The Office Manager will advise the Accounts Receivable Clerk and AR Supervisor of scheduled coverage requirements in advance whenever possible. In the event of an emergency, such as a sick day, the Office Manager will notify the AR Supervisor directly.
Responsibilities:
Payment Processing & Accounting Support
• Receive, sort, and enter cheque, cash, and electronic fund payments from homeowners, tenants, and other payors
• Accurately input payment and banking information into the accounting system
• Track incoming funds and issue receipts as required
• Update homeowner and tenant information in the system
• Follow established cash-handling protocols to ensure accuracy and compliance
Customer Service & Communication
• Respond to customer emails, tickets, phone calls, and general inquiries in a timely and professional manner
• Provide information and assistance to homeowners and tenants as needed
• Forward inquiries to the appropriate department when resolution is not possible directly
Mail, Courier & Document Handling
• Sort and distribute incoming physical mail; scan and route documents for digital distribution
• Monitor and distribute faxes received via the centralized email system
• Receive, coordinate, and dispatch courier deliveries
Administrative & Office Support
• Perform clerical duties including filing, labeling, data entry, and photocopying
• Assist various departments with administrative support as needed
• Maintain office supply inventory — place orders, receive and unpack shipments, and ensure supply areas remain organized
• Ensure common office spaces (kitchens, boardrooms, photocopy rooms) are clean, stocked, and well-maintained
Collaboration & Professional Conduct
• Work effectively with supervisors, managers, colleagues, and clients
• Take direction and complete tasks within assigned deadlines
• Maintain professional and courteous relationships with internal and external contacts
General Expectations
• Demonstrate strong organization, accuracy, and attention to detail
• Manage high volumes of data efficiently
• Thrive in a fast-paced environment while balancing multiple priorities
Skills & Qualifications:
- Prior experience in high-volume data entry in either an office or Accounting related field, with a strong focus on accuracy and speed.
- Proven financial or numerical aptitude, ideally gained through prior Accounts Receivable experience for a large, complex, client focused organization.
- Experience providing customer service and cash handling would be an asset.
- Strong experience in Microsoft Excel, Word, and Outlook required.
- Excellent organizational skills to manage multiple tasks and tight deadline is crucial.
- High attention to detail.
- Excellent verbal and written communication skills.

Compensation:
$40,000.00 - $42,000.00 per annum
