About the position
As an on-site Medical Office Administrator / Intake Coordinator, you will perform customer service and administrative tasks to ensure the smooth operation of the Clinic. You will be the face and voice of Anova Fertility for patients, responsible for scheduling, answering calls, booking appointments, relaying messages, responding to inquiries, greeting patients, and assisting with payments. You will share the Founder, Dr. Dixon’s commitment to excellence in reproductive health. This role reports to the Patient Services Manager.
Responsibilities
- Provide excellent customer service to patients and visitors
- Schedule appointments and manage clinic hours for fertility specialists
- Answer phone calls, relay messages, and respond to inquiries
- Greet patients and assist with check-in and check-out processes
- Assist in payment collection and financial transactions
- Maintain accurate electronic medical records and manage administrative tasks efficiently
Qualifications and Requirements
College diploma or Medical Office Assistant diplomaMinimum of 2 years experience in Medical Administration (fertility background preferred)Proficiency with multi-line phone systems, electronic medical records, MS Word, Excel, Outlook, and virtual meeting tools (Zoom, Teams)Excellent verbal and written communication skills in EnglishAbility to multitask, prioritize, and adapt to shifting prioritiesStrong customer service skills with a compassionate and empathetic approachAttention to detail and problem-solving abilitiesAbility to work independently and as part of a teamSupport for diversity, inclusion, and LGBTQ+ communitiesWhy Join Us?
